Tasks

What is Tasks?

Tasks (also called Follow-ups) are reminders to contact or follow up with an account. Use them to plan calls, visits, and next steps.

From the Tasks and Follow-ups screen, you can view pending and completed work, filter by type or date, mark items complete, edit details, add tasks to a route, and create new tasks.

Tasks can be linked to an account, given a type and priority, scheduled for a date/time, assigned to a rep, and synced to the calendar when calendar sync is set up.

How to navigate

Bottom tab barTasks Opens Tasks and Follow-ups.

Other entry points:

  • Mobile HomeRecommended Follow-ups (when enabled) → open/manage in Tasks
  • Accounts → Add Task / follow-up for an account
  • Places / route tools → Add Task when available
  • Appointment / event flows → schedule a follow-up when offered

Using Tasks

  1. Open the Tasks tab.
  2. Switch between Not Completed and Completed.
  3. Open Filters to narrow by task type, priority, and start/end date.
  4. Review each task—account name, type, date/time, notes, and status.
  5. Mark complete, edit, delete, or Add to Route.
  6. Use Add to create a new task for an account.
  7. Tap a task/account to open account options when available.

View Pending and Completed

What is View Pending and Completed?

Tasks and Follow-ups has two lists: Not Completed (open work) and Completed (finished work).

How to navigate

Tasks → segment control Not Completed / Completed

Using View Pending and Completed

  1. Open Tasks.
  2. Tap Not Completed to see open tasks.
  3. Tap Completed to see finished tasks.
  4. Use filters on either list as needed.
  5. Mark a task complete to move it to Completed (or incomplete to move it back).

Features include

  • Not Completed – Pending follow-ups still due.
  • Completed – Tasks marked done.
  • Segment switch – Fast toggle between the two lists.
  • Empty state – “No Tasks Found” when the list has no results.
  • Works with filters – Type, priority, and dates apply to the selected status.

View task details

What is View task details?

Each task row on Tasks shows the key follow-up information so you can act quickly in the field.

How to navigate

Tasks → scroll the task list Tap a task/account when you need full account options.

Using View task details

  1. Open Tasks.
  2. Review each card/row for:
    • Linked account / company name
    • Follow-up date and time
    • Task type
    • Priority
    • Notes (when present)
    • Completion status
  3. Use Mark complete, Edit, Delete, or Add to Route from the row actions.

Features include

  • Account name – Linked company/contact for the follow-up.
  • Date / time – When the follow-up is scheduled.
  • Task type – Call, Visit, Email, or your company’s types.
  • Priority – Priority level for the task.
  • Notes – Extra context for the follow-up.
  • Status – Complete or not complete.
  • Row actions – Complete, edit, delete, add to route.

Task Filters

What are Task Filters?

Task Filters narrow the Tasks list by type, priority, and date range. Saved filters can return the next time you open Tasks.

Using Task Filters

  1. Open Tasks.
  2. Open Filters.
  3. Choose Task type (Call, Visit, Email, etc.—your company’s types).
  4. Choose Priority (including All).
  5. Set Start date and End date for a range.
  6. Apply filters to refresh the list.
  7. Clear filters when you want the full list again.
  8. Saved filters may reload automatically on your next visit.

Features include

  • Task type filter – Company-defined task types.
  • Priority filter – Company-defined priorities + All.
  • Start date / End date – Date-range filter.
  • Not Completed / Completed – Status is controlled by the segment; filters work with it.
  • Saved filters – Stored for the user and restored when available.
  • Clear filters – Reset to defaults.
  • No Tasks Found – Shown when filters return no matches.

Add a new task/follow-up

What is Add a new task/follow-up?

Add creates a new task or follow-up for an account from Tasks (or from Accounts / other screens).

How to navigate

TasksAdd or Accounts / Places / appointment flows → Add Task

Using Add a new task/follow-up

  1. Tap Add (or Add Task from an account).
  2. Select/confirm the account if required.
  3. Set Follow Up Date and Time.
  4. Optional quick time frames: Tomorrow, One Week, One Month, 3 Months, 6 Months, 1 Year.
  5. Set Duration (for example 15 Minutes).
  6. Choose Task Type and Priority.
  7. Choose Scheduled With (person at the company, when available).
  8. Managers can set Assigned To for another rep.
  9. Add Notes.
  10. Set Recurring options when available (or “Does not repeat”).
  11. Check Mark completed only if the work is already done.
  12. Save the task.

Features include

  • Follow Up Date – Day the follow-up is due.
  • Time – Time of day for the follow-up.
  • Quick time frames – Tomorrow through 1 Year shortcuts.
  • Duration – Expected length of the follow-up.
  • Task Type – Call, Visit, Email, or company types.
  • Priority – Priority level for the task.
  • Scheduled With – Person at the account (when listed).
  • Assigned To – Manager assignment to a rep.
  • Notes – Free-text details.
  • Recurring options – Repeat schedule when available.
  • Mark completed checkbox – Create already-done tasks when needed.
  • Entry from other screens – Accounts, Places, Home recommendations, and more.

Edit a task

What is Edit a task?

Edit opens an existing follow-up so you can change schedule, type, priority, assignee, notes, or status, then save.

How to navigate

Tasks → task row → Edit

Using Edit a task

  1. Open Tasks.
  2. Find the task.
  3. Tap Edit.
  4. Update date, time, duration, type, priority, Scheduled With, Assigned To, notes, recurring, or completion.
  5. Tap Update / Save.
  6. The Tasks list refreshes with your changes.

Features include

  • Edit button – On each task row.
  • Same fields as Add – Date, time, duration, type, priority, people, assign, notes, recurring.
  • Update save – Writes changes back to CallProof.
  • List refresh – Tasks screen updates after edit.
  • Calendar update – Related calendar event can update when sync is enabled.

Mark complete/incomplete

What is Mark complete/incomplete?

Mark complete checks off a follow-up when work is done. You can mark it incomplete again if needed.

How to navigate

Tasks → task row → Mark Complete / Mark Incomplete (or completion control)

Using Mark complete/incomplete

  1. Open Tasks.
  2. On a Not Completed task, tap Mark Complete.
  3. Confirm “Are you sure you want to mark this complete?”
  4. The task moves to Completed.
  5. On a Completed task, tap Mark Incomplete and confirm to reopen it.

Features include

  • Mark Complete confirmation – Prevents accidental completion.
  • Mark Incomplete confirmation – Lets you reopen work.
  • Status sync – Updates CallProof task status.
  • List movement – Completed tasks appear under Completed; incomplete under Not Completed.
  • Home task popup – Home may also prompt for completed tasks for the day when enabled.

Add to Route

What is Add to Route?

Add to Route adds the account linked to a task onto your current route so you can visit accounts in order.

How to navigate

Tasks → task row → Add to Route

Using Add to Route

  1. Open Tasks.
  2. Find a task for an account you want to visit.
  3. Tap Add to Route.
  4. If successful, CallProof shows “Task has been added to your route.”
  5. Open Routes to navigate the stop.
  6. If the account is already on the route, or the route is full, CallProof shows an alert.

Features include

  • Add to Route button – On task rows.
  • Uses linked account – Adds the task’s contact/account to Current Route.
  • Route limit – Maximum 25 contacts on a route.
  • Success message – Confirms when added.
  • Already on route – Alert if the stop cannot be added again.
  • Opens field workflow – Continue in Routes for navigation order.

Delete a task

What is Delete a task?

Delete permanently removes a follow-up you no longer need.

How to navigate

Tasks → task row → Delete

Using Delete a task

  1. Open Tasks.
  2. Find the task.
  3. Tap Delete.
  4. Confirm “Are you sure you want to delete this task?”
  5. Tap Yes to remove it, or Cancel to keep it.
  6. If calendar sync is on, the related calendar event can also be removed.

Features include

  • Delete action – On the task row.
  • Confirmation alert – Prevents accidental deletes.
  • Removes from list – Task disappears after success.
  • Calendar cleanup – Related calendar event deletion when sync is enabled.

Calendar sync

What is Calendar sync?

When Google / Microsoft / Apple calendar sync is enabled in Settings, tasks and follow-ups can be sent to your calendar.

How to navigate

Settings → Calendar Sync (Google / Microsoft / Apple) Then create or edit tasks in Tasks

Using Calendar sync

  1. Enable calendar sync in Settings.
  2. Grant calendar permission if prompted.
  3. Create or edit a task/follow-up in Tasks.
  4. Check your calendar for the scheduled follow-up.
  5. Deleting a task can also remove the related calendar event.

Features include

  • Google / Microsoft / Apple – Supported calendar providers when configured.
  • Task → calendar – Follow-ups appear as calendar items.
  • Edit / delete sync – Changes can update or remove calendar events.
  • Settings controlled – Must be enabled per user/device.

Recommended Follow-ups

What are Recommended Follow-ups?

On Mobile Home (when enabled), CallProof may suggest follow-ups based on recent activity. Open and manage them from Tasks or Home actions.

How to navigate

Mobile Home → Recommended Follow-ups widget or open Tasks to manage follow-ups

Using Recommended Follow-ups

  1. Open Home.
  2. Review recommended follow-up suggestions (when the widget is enabled).
  3. Open a suggestion to create/manage the follow-up.
  4. Snooze a recommendation when you are not ready.
  5. Continue full management in the Tasks tab.

Features include

  • Home widget – Suggested follow-ups from recent activity.
  • Open / manage – Act on suggestions quickly.
  • Snooze – Delay a recommendation for later.
  • Tied to Tasks – Full list and editing live in Tasks and Follow-ups.
  • Widget visibility – Depends on Home widget settings / company enablement.

Account actions from a task

What are Account actions from a task?

From a task, you can open the related account to call, set an appointment, submit event forms, add notes, and use other account options.

How to navigate

Tasks → tap the task / account → account details / actions

Using Account actions from a task

  1. Open Tasks.
  2. Tap the account linked to a task.
  3. Use account actions such as Call, Message, Appointment, Event Forms, Notes, Opportunities, People, and more (as available).
  4. Return to Tasks when finished.

Features include

  • Open related account – Jump from follow-up to account context.
  • Call / message – Contact the account (Twilio or native when enabled).
  • Appointment – Check in / schedule visits.
  • Event forms – Submit field forms.
  • Notes and history – Review or add notes.
  • Other account tools – Labels, images, directions, opportunities, people when available.
