Text Messages

Screen purpose: View and reply to SMS/MMS conversations with your contacts from CallProof’s texting numbers, start new texts, label conversations, filter the list, and export a report.

How to open Text Messages

Option A — Main menu

  1. Sign in to CallProof.
  2. Open Text Messages / SMS (label may vary).

Option B — Direct address

  1. Go to your CallProof site and add /sms/.
  2. Press Enter.

Option C — Quick Links (from this screen)

  1. Click Quick Links for related tools (Accounts, Call History, Autotext, Labels, Do Not Call, and more).

Permissions

  • You must be signed in.
  • Your company must have CallProof texting / VOIP (Twilio) enabled. If it is not, you are redirected away (or see that VOIP is inactive).
  • Some retail/store setups also require Text Message access on your user profile.
  • Managers / telemarketing managers can filter by Rep and (for some companies) Market.
  • MMS (image attach) appears only if your profile has can send MMS enabled.
  • Voice call from a conversation appears when CallProof calling is enabled for your company.

Left — conversation list

  • Title: Text Messages
  • Search conversations… — filter the list by name/phone text
  • Each row shows: contact/company avatar, company name, phone number, last message time, unread badge, and any labels
  • Click a row to open that conversation on the right
  • Click the avatar to open the contact’s Update Account page

Right — conversation pane

Area What it shows
Header Contact/company name, status/phone details; carrier name when your company uses carrier lookup
Add Label (+) Add or search labels for this phone conversation
Voice Call (when enabled) Start a CallProof call for this contact phone
Message area Incoming and outgoing texts in a chat thread
Composer Reply box (max 140 characters), Send button, optional paperclip for MMS

The conversation list refreshes automatically about every 15 seconds so new incoming texts appear without a full page reload.

Why Text Messages matter

Action Purpose When to use it
Open a conversation See the full SMS history with a contact. Follow up after a call or appointment.
Reply Send a text from your CallProof number. Quick confirmations, reminders, directions.
Send New Text Start a thread with a number/contact that may not be in the recent list. Cold outreach or a new lead phone.
Add Label Tag conversations for filtering later. Hot leads, “needs reply,” campaign tags.
Filter Narrow by date, number, rep, unanswered, store, labels. Manager review or cleanup.
Export Download a CSV of the filtered messages. Audits, coaching, reporting.
Attach image (MMS) Send a picture with the text (when allowed). Product photos, maps, forms.

Open a conversation and reply

Reply to a text

Steps

  1. Open /sms/.
  2. In the left list, click a conversation (or use Search conversations… first).
  3. Read the thread on the right.
  4. Type a reply in Reply message… (up to 140 characters — the counter shows n/140).
  5. Press Enter (without Shift) or click the Send (paper plane) button.
  6. A success message appears and the thread updates.

Notes:

  • The Send button stays disabled until there is text (or an attached image).
  • Shift+Enter can be used for a new line without sending (Enter alone sends).

Send a new text

Send New Text

Popup title: Send New Text

Steps

  1. Click + Send New Text.
  2. In Phone Number, type a phone number or part of a contact name.
  3. Pick a suggestion from the dropdown (name — phone), or keep typing a full number.
  4. Click Start Text.
  5. CallProof opens the messaging flow for that contact phone (creates an unknown contact/phone if the number is new).
  6. Continue the conversation from the SMS panel that opens.

If Phone Number is blank: you see Phone number is required.

Attach an image (MMS)

Images attachment

Shown when: your profile can send MMS (paperclip button next to Send).

Popup title: Images (max size upto 5MB)

Steps

  1. Open a conversation.
  2. Click the paperclip button.
  3. Upload a new image (drag & drop or choose file) — max 5 MB, image types only — or click an existing company image to attach.
  4. Optionally preview or delete stored images from the gallery.
  5. Send the text (with or without a message body).

Add or manage labels on a conversation

Add New Label

Popup title: Add New Label

Steps

  1. Open a conversation.
  2. Click the + (Add Label) button in the chat header.
  3. Search or add new label… — pick a suggestion or type a new name (up to 50 characters).
  4. Click Add.
  5. Labels appear on the conversation in the left list and can be used in the Filter.

Labels belong to your company and help you group texts (for example “Hot Lead”, “Follow up”).

Steps

  1. Click the Filter (funnel) icon.
  2. Set the fields you need.
  3. Click Search / Apply.
  4. The left conversation list updates.
  5. Click Clear to reset filters.

Tip: Filters are stored in your session and also apply to Export Text Message Report.


Export Text Message Report

Address: /sms/export/ File: text_messages.csv

Steps

  1. Set any filters you want first.
  2. Click Export Text Message Report (CSV icon).
  3. The browser downloads a CSV of the filtered messages.

Columns (typical)

  • Date, To, From, Message, Status
  • If carrier/caller lookup is enabled for your company: also Carrier Name and Caller Name

Voice call from a text conversation

When CallProof calling is enabled:

  1. Open a conversation.
  2. Click the phone icon in the chat header.
  3. Complete the call using the CallProof dialer flow.

Typical workflow

  1. Open Text Messages.
  2. Use Filter (or search) to find unanswered or recent conversations.
  3. Open a thread → reply within 140 characters.
  4. Label hot conversations for later review.
  5. Use Send New Text for a new phone number.
  6. Export the filtered set when a manager needs a report.

Tips and important notes

  • Keep replies short — the composer caps at 140 characters.
  • The list auto-refreshes about every 15 seconds; you usually do not need to reload the page for new inbound texts.
  • Unread badges help you spot conversations that still need attention.
  • MMS images are limited to 5 MB and image file types.
  • Export respects your current filters — clear filters if you want everything.
  • If VOIP/texting is not enabled for your company, use Request VOIP / Support instead of this screen.
  • Incoming texts to unknown numbers can create an “unknown” contact so the thread still appears in CallProof.

Need help?

  • Cannot open Text Messages: confirm company Twilio/VOIP is active and your user has text access
  • “Phone number is required”: enter a number before Start Text
  • Send button disabled: type a message or attach an image
  • Paperclip missing: your profile does not allow MMS — ask a manager
  • No conversations: clear filters, widen the date range, or raise Max Result
  • Export empty: check filters, then try again
  • Other issues: email support@callproof.com
