Phone Numbers

Screen purpose: Buy and manage your company’s CallProof / Twilio phone numbers used for inbound calling, SMS, forwarding, voicemail, and related features.

  • Browse all company Twilio numbers
  • Purchase a new local or toll-free number
  • Edit name, call forwarding, voicemail, recording, and notifications
  • Search, export, and delete numbers (when permitted)

How this differs from similar screens

Screen Address What it is
Phone Numbers (this page) /phone_numbers/ CallProof-owned Twilio numbers for your company (inbound SMS/calls, forwarding, etc.).
Caller ID /caller/callerid/new/ Verifies a rep’s personal/store phone so outbound Web calls can show that number.

How to open Phone Numbers

Option A — Quick Links

  1. Sign in to CallProof.
  2. Open a Calls screen with Quick Links.
  3. Click Phone Numbers.

Option B — Direct address

  1. Go to your CallProof site and add /phone_numbers/.
  2. Press Enter.

Permissions

  • You must be signed in.
  • Your profile needs Twilio phone number permission to view and manage this list. Without it, CallProof may deny access and send you back to the dashboard.
  • Delete requires an extra permission: Twilio phone number delete permission.
  • If permission is missing, you may see: You don't have permission to access that page.

What you see on the list

Header

  • Quick Links (Accounts, Autotext, Recorded Calls, Recorded Messages, Caller ID, Phone Numbers, Call Results)

Table columns

Column What it shows
Phone Number The Twilio number, plus name/campaign (or Autotext store name if linked)
Toll Free Yes / No
Forward Where inbound calls forward (sales rep, dealer store, other number) — or No
Autotext Yes if tied to Autotext (link to Autotext edit); otherwise No (link to Phone Number edit)
Active Created date, or deactivated date in red if deactivated
Deleted No, or the deleted date
Actions Edit · Delete (if permitted and not already deleted)

If nothing matches: No phone numbers found.

Why Phone Numbers matter

Action Purpose When to use it
Purchase Add a new company line from Twilio inventory. New market, campaign, or SMS line.
Edit / name Label the number and set how inbound calls behave. After purchase or when routing changes.
Forward / voicemail Decide who answers and what happens if no one picks up. Front-desk or after-hours coverage.
Export Download a CSV of current numbers. Audits and billing checks.
Delete Retire a number you no longer need. Cleanup (requires delete permission).

Filter Phone Numbers

Search Match part of the phone number or the name/campaign (spaces search multiple terms)

Steps

  1. Click the Filter (funnel) icon.
  2. Enter search text.
  3. Apply the filter.
  4. Clear to reset and reload the full list.

Purchase a phone number

Steps — find available numbers

  1. From Phone Numbers, click Purchase Phone Number.
  2. Open Purchase Number Filter.
  3. Choose:
    • Country and Area Code for a local number, or
    • Check Toll Free and pick a toll-free area code
  1. Apply the filter.
  2. Review the list of available numbers.

Steps — buy a number

  1. Click Purchase on the row you want.
  2. Confirm in the Purchase phone number popup.
  3. Wait for success (for example Phone number purchased…).
  4. CallProof returns you to /phone_numbers/.
  5. Open Edit on the new number to set name, forwarding, and voicemail.

Good to know

  • Empty results: try another area code or country, or clear Toll Free.
  • Purchase can fail if the number is no longer available — pick a different one.
  • After purchase, configure the number on the Edit screen before using it heavily.

Edit a phone number

Open Edit

  1. On the list, click the phone number or the Edit (pencil) icon.
  2. If the number is linked to Autotext, Edit may open Autotext instead — manage that number from Autotext.

Common settings

Forward call on carrier (When enabled) route based on carrier rules / numbers
SIP Domain Users Forward to selected SIP domain users
Call center people (Max 10) Ring selected call-center users
Forward to Forward to a sales rep, dealer store (dealer companies), or another number
Voicemail Play a greeting / capture voicemail; set greeting by upload, Call My Phone, or microphone record
Send Missed call notification and voice mail Email selected users about missed calls / voicemail
Record Record calls on this number when enabled
AI Summary Email Notification Send AI call summaries to selected users (with optional duration thresholds)
SMS Email Notify Choose who gets email when SMS arrives on this number

Steps — save changes

  1. Adjust the options you need (extra sections appear when you turn checkboxes on).
  2. Click Save at the top.
  3. Success message: Phone number updated successfully.

Voicemail greeting options

When Voicemail is checked:

  1. Upload wav/mp3 file — choose a file, then save.
  2. Call My Phone — CallProof calls your default/Caller ID phone so you can record a greeting (set up Caller ID first if prompted).
  3. Record using microphone — record in the browser, then save.

You can play an existing greeting from the audio player when a recording URL exists.

Export phone numbers

Steps

  1. Apply any search filter you want (export uses the current search).
  2. Use the Export control on the list / pagination area.
  3. Download phone_numbers.csv.

CSV includes name, phone number, toll-free, forward, autotext, active, deleted, created, and updated.

Delete a phone number

Steps

  1. Confirm you have delete permission.
  2. Click the trash icon on a non-deleted row.
  3. Confirm delete.
  4. Success message: Phone number deleted successfully.
  5. The number is marked deleted (date shown in the Deleted column).

Good to know

  • Deleted numbers no longer show Edit/Delete actions.
  • Numbers tied to Autotext may delete through the Autotext-linked action instead.

Typical workflow

  1. Confirm you have Twilio phone number permission.
  2. Open /phone_numbers/.
  3. Purchase Phone Number → filter by area code → Purchase.
  4. Open the new number in Edit.
  5. Set Name/Campaign, forwarding, voicemail, and SMS/email notify users.
  6. Save.
  7. Test an inbound call and a text to that number.

Tips and important notes

  • These are company Twilio lines, not the personal phones on Caller ID.
  • Autotext-linked numbers are edited mainly from Autotext; the list links there when Autotext = Yes.
  • Forwarding options depend on company settings (carrier forward, client forward, dealer stores, etc.). Some checkboxes only appear when your company has that feature on.
  • Always Save after changing Edit options.
  • For outbound Caller ID on softcalls, still use Caller ID (/caller/callerid/new/) in addition to owning Twilio numbers here.
  • Export respects your current search filter.

Need help?

  • Permission denied / redirected to dashboard: ask a manager to enable Twilio phone number permission on your profile
  • Cannot delete: you may need delete permission
  • No numbers to purchase: change country/area code or try toll-free
  • Purchase failed: number may have been taken — choose another
  • Voicemail Call My Phone blocked: set up Caller ID / default phone first
  • Other issues: email support@callproof.com
