Files

Store and manage documents associated with accounts. The Files page allows you to upload files, share them with other users, download documents, and organize account-related files in a central location.

Navigation: DashboardFiles

Note: In some companies, this menu appears as Dashboard & ReportsFiles.

  1. Log in to your CallProof account.
  2. From the main navigation bar, hover over Dashboard.
  3. Select Files.
  4. The Files page opens and displays your uploaded files.
  5. Each file record includes information such as:
    1. File Name
    2. Account
    3. Shared status
    4. Last Modified date
  6. Use the right sidebar to switch between Files and Shared Files.

Upload a File

Attach an important document to a specific account so the file becomes part of that account’s history. This keeps evidence, proposals, signed forms, and supporting documents available to the right people during sales and follow-up work.

Note: Files must be uploaded from an account and are always associated with a contact or account.

  1. Open PeopleContacts.
  2. Open the account where you want to upload the file.
  3. Select the Files tab.
  4. In the New File section, click Choose File and select a file from your computer.
  5. Click Upload.
  6. The file is uploaded and linked to the selected account.
  7. The uploaded file also appears under DashboardFiles.

Edit or Share a File

Keep file content current and control access. Use Edit to replace an outdated document, and Share to give selected teammates view/download access without making the file available to everyone.

  1. Open DashboardFiles or open the account's Files tab.
  2. Locate the file you want to update.
  3. Click the Edit (pencil) icon or Share File.
  4. The Edit File page opens.
  5. Review the current File Name.
  6. Optionally select a replacement file using Update File.
  7. Under Share With, select the users who should have access.
  8. Use All or None to quickly select or clear users.
  9. Click Update.
  10. Your changes are saved.
  11. Users with whom the file is shared can access it from Shared Files.

Download a File

Save a local copy of an account document for offline review, printing, emailing outside CallProof, or use in meetings and customer discussions.

Click to Download (file) icon
  1. Open DashboardFiles, Shared Files, or the account's Files tab.
  2. Locate the file you want to download.
  3. Click the File Name or the Download icon.
  4. The file is downloaded to your computer.

Delete a File

Remove documents that were uploaded by mistake, are outdated, or should no longer be stored on the account—so your Files list stays accurate and only relevant documents remain.

Files Delete
  1. Open DashboardFiles or the account's Files tab.
  2. Locate the file you want to remove.
  3. Click the Delete (red X) icon.
  4. Confirm the deletion.
  5. The file is permanently removed from the account and the Files list.

Note: The Delete option is available only for files you uploaded.

View Shared Files

Show documents other users have shared with you so you can review and download teammate/account files you need for your work, even if you did not upload them yourself.

  1. Open DashboardFiles.
  2. In the right sidebar, click Shared Files.
  3. The Shared Files page opens.
  4. Review the files other users have shared with you.
  5. Click the File Name or Download icon to download a file.
  6. Click the related Account link to open the associated account.

Notes

  • Files must always be associated with an account.
  • Uploaded files are automatically available from the account's Files tab.
  • Shared files appear only for users who have been granted access.
  • Only the user who uploaded a file (or users with appropriate permissions) can delete it.
