Manual Reports

Manual Reports allow users to generate one-time CSV reports for a specific date range. Unlike Custom Reports, Manual Reports do not run on a recurring schedule. After saving the report, CallProof processes it in the background and emails the completed report to the selected recipients.

  1. Log in to CallProof.
  2. Navigate to /reports/manual_report/.
  3. The Manual Reports page opens.
  4. Review existing reports.

The page displays all previously created manual reports.

Column Description
Drag Handle Reorder reports.
Name Opens the Edit page.
Last Run Opens the most recent completed report.
Edit Update the report.
Download Download completed CSV report.
Duplicate Create a copy.
Delete Remove the report.

Add Manual Report

Create a new export definition and run it in one flow. Use when you need a CSV for a specific window (e.g. “Jan 1–Mar 31”) with chosen metrics, recipients, and form fields — without setting up recurring delivery.

Add Report Click (plus) icon
Add Rep
  1. Click Add Report.
  2. Enter the Report Name.
  3. Select the Start Date.
  4. Select the End Date.
  5. Select the Report Recipients.
  6. Enter up to three Additional Recipients if required.
  7. Select the Included Sales Representatives.
  8. Configure any optional report sections.
  9. Click Save.
  10. Wait for processing.
  11. A confirmation message indicates that the report is being generated.
  12. The completed report is emailed when processing finishes.

Main Report Fields

Field Required Description
Name Yes Report title.
Start Date Yes Beginning of reporting period.
End Date Yes End of reporting period.
Report Recipients No Internal CallProof users.
Additional Recipients No Up to three external email addresses.
Included Sales Reps No Sales representatives included in the report.

Sales Rep Assignments

Events

Include tallies of CRM events (visits, check-ins, etc.) for the selected period — field activity for that exact window. When event counts are on, choose which event types count so the report isn’t filled with types you don’t need.

Recorded Calls

Include recorded call statistics.

Set how far the task window reaches (default often 7; max 1,095). Controls how much task/appointment history or lookahead is in the export.

  1. Select the Sales Representatives.
  2. Specify the number of days.
  3. Optionally enable Show Past Appointments.
  4. Click Save.

Note: Maximum task range is 1,095 days.

Event Form Fields

Include custom Event Form fields in the report.

  • Count Entries
  • Add Field
  • Field Action
  • Group Results
  • Groupings
  1. Select an Event Form.
  2. Choose Count Entries or Add Field.
  3. Select the desired field.
  4. Select the Field Action.
  5. Optionally configure Group Results.
  6. Click Add Field.
  7. Repeat for additional fields.
  8. Drag rows to reorder fields if required.

Save Manual Report

Store the definition and queue a background export immediately. Recipients get email when done; the file also appears under Your Scheduled Exports. This is “create + run” in one step.

  1. Click Save.
  2. Wait while the report is queued.
  3. A processing message appears.
  4. The report is generated in the background.
  5. An email is sent when processing completes.
  6. The report is also available under Your Scheduled Exports.

Download Manual Report

Open or download the last finished file without rebuilding the report — verify content, forward, or archive locally.

  1. Open Manual Reports.
  2. Locate the completed report.
  3. Hover over the CSV Download icon.
  4. that the tooltip displays "Report Download."
  5. Click the CSV Download icon to download the report.# Save the downloaded file.

Edit Manual Report

Change dates, recipients, sections, or fields and regenerate the CSV. Use for a new period with the same template, or to fix a prior run’s settings.

  3. A copy of the report is created.
  4. The duplicated report is queued for export.
  5. Modify the copied report if necessary.

  3. The report is permanently removed.

Notes

  • Manual Reports generate one-time exports only.
  • Saving a report automatically queues report generation.
  • Reports are processed in the background.
  • Completed reports are emailed to all configured recipients.
  • Reports can also be downloaded from Your Scheduled Exports.
  • Manual Reports do not support recurring schedules.
  • Up to three additional external email recipients can be configured.
  • Reports support Markets, Sales Rep Assignments, Events, Recorded Calls, Event Forms, Tasks, and Event Form Fields.
  • Event Form Fields can be reordered using drag and drop.
  • Download becomes available after report generation completes.
