Recorded Messages
Screen purpose: Create and manage reusable recorded messages for CallProof calling. CallProof dials your phone so you can record a message, then you name it and keep it for later use.
- Browse your recorded messages
- Record a new message by phone
- Rename and listen to a message
- Delete messages you no longer need
- Managers can filter by sales rep

Note: This is not Call History. Call History (/calls/all/) shows completed calls. Recorded Messages are short audio clips you create and reuse.
How to open Recorded Messages
Option A — Quick Links
- Sign in to CallProof.
- Open a Calls / Caller screen that includes Quick Links.
- Click Recorded Messages.
Option B — Direct address
- Go to your CallProof site and add
/caller/msgs/. - Press Enter.
Permissions and requirements
- You must be signed in.
- Your company must have Twilio / recorded calling enabled. If it is inactive, CallProof may redirect you away with Recorded messages inactive / Recorded calling inactive.
- Reps usually see only their own messages.
- Managers can see company messages and filter by Rep.
- To Record New Message, you also need:
- An active Caller ID
- A usable phone number on that Caller ID
- A Default Phone set on your user profile

If nothing matches the filter, the table shows: No recorded messages found.
Why Recorded Messages matter

Filter Recorded Messages
Filter title: Recorded Message Filter

Steps
- Click the Filter (funnel) icon.
- Choose Sort and (if available) Rep.
- Click Apply Filters / search.
- Click Clear Filters to reset and refresh the list.
Record a new message
Popup title: Record Message
Steps
- On Recorded Messages, click Record New Message.
- Read the prompt: Click "Call Now" to call the number below and record a message.
- Confirm the Call number shown is your phone.
- Click Call Now.
- Answer the call and record your message when prompted.
- Return to Recorded Messages and Edit the new row to give it a clear Name (required, up to 64 characters).
- Play the audio in the edit popup to confirm it sounds right.
What happens behind the scenes (for users)
- CallProof places a call to your default phone.
- A new Recorded Message row is created with status starting as initializing / calling.
- After the call ends, audio becomes available when the recording URL is ready.
- Until you name it, the list may show Name not found.
If Call Now fails

| Default phone not set | Open your user profile and set a default phone. |
| Recorded calling inactive | Ask a manager to enable Twilio calling for your company. |
Edit / listen to a recorded message
Popup title: Update Recorded Message
Steps
- Find the message in the list.
- Click the Edit (pencil) icon.
- Enter or change the Name.
- Listen with the audio player (or note Audio not available if recording is not ready).
- Save.
- Success message: Recorded message saved successfully.
Good to know
- Name is required.
- Max length is 64 characters.
- If the message has no name yet, the popup prompts: Please name your recorded message:
Delete a recorded message
Steps
- Click the trash icon on the row.
- Confirm delete in the confirmation popup.
- Success message: Recorded message deleted successfully.
- The list refreshes.
Good to know
- Delete removes the message from the active list (soft delete).
- You cannot recover it from this screen after deleting.

Typical workflow
- Confirm Twilio calling, Caller ID, and Default Phone are set.
- Open
/caller/msgs/. - Click Record New Message → Call Now.
- Answer your phone and record the message.
- Edit the new row → give it a clear name → listen to confirm.
- Use the named message later when placing CallProof calls.
- Managers: filter by Rep to review team recordings.
Tips and important notes
- Recorded Messages = reusable clips you create. Recorded Calls / Call History = logs of actual calls.
- Name every message after recording — unnamed rows are harder to find and may show Name not found.
- Audio may say Audio not available until the recording finishes processing.
- Default sort is usually newest first (Rev Date Added).
- Managers see a Sales Rep column and a Rep filter; reps typically see only their own messages.
- If the company does not have recorded calling enabled, this screen will not work.
Need help?
- No messages found: clear filters, or record a new message
- Cannot record: check Caller ID, Default Phone, and Twilio / recorded calling
- Call Now toast says initializing, but no call arrives: confirm your default phone number is correct and reachable
- Cannot rename: enter a non-empty Name (max 64 characters)
- Audio missing: wait for processing, then reopen Edit
- Other issues: email support@callproof.com
