Path: Callproof Support - New Website - Caller ID (New Web)

Activate New Caller ID

Screen purpose: Choose and verify the phone number CallProof shows as your outbound Caller ID when you place Web / Twilio calls, record messages, or use related calling features.

How to open Caller ID

Option A — Quick Links

  1. Sign in to CallProof.
  2. Open a Calls screen that includes Quick Links (for example Recorded Messages or Call History).
  3. Click Caller ID.

Option B — Direct address

  1. Go to your CallProof site and add /caller/callerid/new/.
  2. Press Enter.

Option C — Prompted from calling

  1. Try to place a call, record a message, or use a feature that requires Caller ID.
  2. If Caller ID is missing or inactive, CallProof may send you here to set it up.
  3. You may see a breadcrumb such as:
 Accounts » Record Call » Activate New Caller ID

Permissions

  • You must be signed in.
  • Reps usually see and manage their own phones.
  • Managers can see phones for users in the company and add phones for other reps.
  • Select Store Caller ID appears only for dealer companies.
  • Managers may also see Add New Store Phones (link to Stores).

What you see on the screen

The page is organized into cards:

Card Purpose
Current Caller ID Shows the Active Caller ID in use (rep phone or store phone).
New Caller ID Pick a phone and start verification (or manage an already-verified number).
Set Default Phone Choose which of your phones is the default.
New Rep Phone Add a phone number for a selected rep.
Select Store Caller ID Dealer only — use a store phone as Caller ID.

Phone list labels:

  • - Caller ID — that phone is already verified as Caller ID
  • - Default — that phone is the user’s default phone

Quick Links on this screen include Accounts, Autotext, Recorded Calls, Recorded Messages, Caller ID, Phone Numbers, and Call Results.

Why Caller ID matters

Action Purpose When to use it
Validate Number Prove you own the phone so CallProof can use it as outbound Caller ID. Before Web calling / softcall / recorded messages.
Set Default Phone Tell CallProof which number to prefer (for example when recording a message). You have more than one phone.
Remove Caller ID Clear verification from a number you no longer want to use. Number changed or left the company.
Store Caller ID Show a store’s number instead of a personal cell. Dealer / store calling workflows.

Activate / validate a new Caller ID

Steps

  1. Open /caller/callerid/new/.
  2. Under New Caller ID, choose a Phone from the list.
  3. Click Submit.
  4. In the popup, confirm the person and number shown.
  5. Click Validate Number.
  6. Answer the verification call on that phone and follow the prompts (Twilio verification).
  7. When verification succeeds, the number can be used as Caller ID (list may show - Caller ID).
  8. Refresh / reopen the screen to confirm Current Caller ID looks correct.

If the number is already set up

  1. Select the phone and click Submit.
  2. The popup may say: Caller ID for [number] is already setup.
  3. Use Remove Caller ID if you need to clear it, then validate again if required.

Good to know

  • Validation is required for numbers that are not already verified.
  • Keep the phone nearby — Twilio calls that number during validation.
  • If the number is already verified elsewhere, you may see a message to contact support@callproof.com.
  • Failed attempts show Unable to add caller ID with an error explanation in the popup.

Set default phone

Steps

  1. Under Set Default Phone, choose a phone.
  2. Click Submit.
  3. Success message: Default phone added successfully.
  4. The page reloads; that phone may show - Default in lists.

Good to know

  • Default phone is used by features such as recording a new message (CallProof calls your default phone).
  • Caller ID verification and default phone are related but separate — verify Caller ID and set the default you want to use.

Add a new rep phone

Steps

  1. Under New Rep Phone, select the rep.
  2. Click Submit.
  3. In Add Rep Phone, enter:
    • Phone Type
    • Phone Number
    • Extension (optional)
    • Country Code
  1. Click Save.
  2. You may be taken to that user’s edit profile to confirm.
  3. Return to Caller ID and validate the new number if you want it as Caller ID.

Select Store Caller ID (dealer companies)

Steps

  1. Confirm your company is a dealer company (this card appears only then).
  2. Under Select Store Caller ID, pick a store phone.
  3. Click Submit.
  4. Current Caller ID should show the store name and number when active.
  5. Managers can use Add New Store Phones if the store number is missing.

Remove Caller ID

Steps

  1. Under New Caller ID, select a phone that already shows as set up / - Caller ID.
  2. Click Submit.
  3. In the popup, click Remove Caller ID.
  4. Confirm the number no longer shows as verified, then validate again if needed.

Typical workflow

  1. Add the phone on the user/rep profile (or use New Rep Phone here).
  2. Open Activate New Caller ID.
  3. Set that phone as Default Phone.
  4. Under New Caller ID, select it → SubmitValidate Number.
  5. Answer the verification call.
  6. Confirm Current Caller ID shows the correct number.
  7. Try Make Call / Recorded Message again.

Tips and important notes

  • Without an active Caller ID, Web calling and some recorded-message features may block you with Caller ID not active.
  • Caller ID (this screen) is not the same as Phone Numbers (/phone_numbers/), which manages CallProof Twilio numbers for texting/calling inventory.
  • Managers can validate phones for other reps in the company list.
  • Use a reachable mobile/landline you can answer during validation.
  • After validation succeeds, keep the number current — remove and re-validate if the phone changes.
  • Dealer store Caller ID is optional and only for dealer setups.

Need help?

  • Validate Number fails: confirm the number is correct, reachable, and not already verified under another account; contact support if told it is already verified
  • No phones in the list: add a rep phone first (New Rep Phone or user profile)
  • Calling features still say Caller ID not active: finish validation and confirm Current Caller ID shows Active
  • Default phone errors: choose one of your own phones from the list
  • Store card missing: your company may not be a dealer company
  • Other issues: email support@callproof.com
