Import Accounts

Screen purpose: Upload a CSV file to create or update Accounts (contacts) in bulk — download a sample file, choose how to prevent duplicates, review import results, and download exception rows.

Use this page for the classic Import Account flow. Use Import Account 2 only when your team prefers the newer format.

How to open Import Accounts

Option A — Quick Links on Accounts

  1. Sign in to CallProof.
  2. Open Accounts (/contacts/).
  3. Click Quick Links.
  4. Click Import Account.
  5. The Import Accounts popup opens.

Option B — Quick Links on related screens

  1. On screens that include the same Quick Links (for example Companies, Account Types, Markets, Regions, Text Messages when available):
  2. Click Quick LinksImport Account.

Option C — Close

  1. Click the X (Close) on the popup.

Permissions

  • You must be signed in.
  • Importing accounts is typically a manager / admin task.
  • Facebook Lead import appears only if that option is enabled on your user profile.

If enabled for your user, a second section appears:

  • Download Sample Facebook Lead File
  • Separate CSV upload area for Facebook leads

Why Import Accounts matters

Action Purpose When to use it
Download sample Match CallProof’s expected columns. Before every new import layout.
Prevent Duplicates Update existing records instead of creating doubles. Re-imports and CRM migrations.
Upload Load many accounts at once. Onboarding, territory loads, list buys.
Download Exceptions Fix bad rows and re-import. After any import with Exceptions > 0.

Prepare your CSV

Download Sample Contacts File

Steps

  1. Open Quick Links → Import Account.
  2. Click Download Sample Contacts File.
  3. Open contacts_sample.csv in Excel or Google Sheets.
  4. Keep the header row; replace sample data with your accounts.
  5. Save as CSV.
  6. Leave the final END column as in the sample (CallProof expects it).

Common columns (classic sample)

Your exact headers can vary by company settings (People tab, custom fields). Typical classic columns include:

  • company_name · Title (or Parent Company) · first_name · last_name (when shown)
  • address · address2 · city · state · zip · country
  • email · website · date added · created by · last contacted
  • home · office · cell · fax
  • account type · sales reps · notes · account
  • business_type · employee_count · annual_sales · county
  • Custom fields as custom_field|type|Field Name
  • Notes · END

People-tab companies also get Person 1–10 name/email/phone/title/role/notes columns.

Good to know

  • Use CSV only (the upload accepts .csv).
  • Custom field columns may be created from headers when needed.
  • Multiple phones in one cell are often separated with | (pipe), as in the sample.

Upload and import

Upload CSV

Steps

  1. Open Quick Links → Import Account.
  2. Choose a Prevent Duplicates option.
  3. Drag a CSV onto the file area, or click to choose a file.
  4. Confirm the file name appears under the drop zone.
  5. Click Upload.
  6. Wait while CallProof processes the file (loader may show).
  7. The popup reopens with File Import Results.

If upload is blocked

  • Please select a file before uploading — choose a CSV first.
  • Form/file errors — fix the file type or form and try again.

Review results and fix exceptions

Steps

  1. After Upload, read Companies Created, Accounts Created, Accounts Updated, Total Lines, and Exceptions.
  2. If Exceptions is greater than zero, click Download Exceptions.
  3. Open the exceptions file — it includes an exception column explaining the problem.
  4. Correct those rows in a new CSV (keep proper headers).
  5. Import again with the same Prevent Duplicates setting if you want updates to match correctly.

Good to know

  • Reopening Import Account normally clears prior result counts (fresh start).
  • After Upload, results are shown again in the same popup without clearing that run’s stats.
  • If Download Exceptions says the file was not found, run an import that produces exceptions first, then download in the same session.

Optional: Import Facebook Lead Accounts

Steps (only if the section is visible)

  1. In the Import Accounts popup, find Import Facebook Lead Accounts.
  2. Download the Facebook Lead sample file.
  3. Prepare your CSV from that sample.
  4. Upload it in the Facebook file area.
  5. Use Upload as with the main import (follow on-screen flow for your company).

Typical workflow

  1. Quick Links → Import Account.
  2. Download the sample and align your spreadsheet columns.
  3. Pick Prevent Duplicates (Email or Account are common for re-loads).
  4. Upload the CSV.
  5. Review File Import Results.
  6. Download Exceptions, fix rows, and re-upload if needed.
  7. Confirm new/updated accounts on Accounts (/contacts/).

Tips and important notes

  • Menu says Import Account; the popup title is Import Accounts.
  • This is a popup, not a full page — use Quick Links to open it.
  • Always start from the sample file so headers match CallProof.
  • Prevent Duplicates controls whether rows create new accounts or update matches.
  • Import Account 2 is a separate, newer importer — do not mix sample formats between the two.
  • Large or complex files may take time; wait for the loader to finish.
  • Custom fields and People columns depend on your company setup — trust the downloaded sample for your company.

Need help?

  • No file selected: choose a CSV before Upload
  • Many exceptions: download the exceptions file and fix the listed rows
  • Duplicate accounts created: choose a stronger Prevent Duplicates match (Email / Account) and re-import
  • Wrong columns: re-download the sample for your company and remap your spreadsheet
  • Need the newer format: use Quick Links → Import Account 2 instead
  • Other issues: email support@callproof.com
