Task Stages

Task Stages define the workflow used on the Task Board. Stages such as To Do, In Progress, and Completed help organize tasks as they move through the follow-up process. Each stage can be mapped to a task status (Completed, Not Completed, or In Progress) and can be customized with funnel colors.

Note: Manager access is required. Task Stages can be opened from the right sidebar on the Tasks, Appointments, or Task Board pages.

  1. Log in to your CallProof account as a manager.
  2. From the main navigation bar, hover over Dashboard.
  3. Select Followups.
  4. In the right sidebar, click Task Stages.
  5. The Task Stages page opens and displays the configured stages.
  6. Each stage displays:
    1. Stage Name
    2. Funnel Foreground Color
    3. Funnel Background Color
    4. Status (Completed, Not Completed, or In Progress)

Add Task Stage

Create a new step in your task process (for example, “Waiting on Customer” or “Ready to Close”). This lets you organize work more clearly on the Task Board and match each stage to a completion status so moving a task updates its state correctly.

  1. Open the Task Stages page.
  2. Click Add Stage.
  3. The Add Stage page opens.
  4. Enter a Stage Name.
  5. Select the appropriate Status.
    1. In Progress
    2. Not Completed
    3. Completed
  6. Optionally select:
    1. Funnel Foreground Color
    2. Funnel Background Color
  7. Click Save.
  8. If another stage is already assigned to the selected status, confirm the status mapping when prompted.
  9. The new stage appears in the Task Stages list and on the Task Board.

Edit Task Stage

Keep stage names, status mappings, and colors accurate as your process changes. Editing ensures the Task Board always reflects how your team actually works and that Completed / Not Completed mapping stays correct for reporting and filters.

  1. Open the Task Stages page.
  2. Locate the stage you want to edit.
  3. Click the stage name or the Edit (pencil) icon.
  4. Update the required information:
    1. Stage Name
    2. Status
    3. Funnel Foreground Color
    4. Funnel Background Color
  5. Click Save.
  6. Confirm any status mapping warning if displayed.
  7. The updated stage is reflected on both the Task Stages page and the Task Board.

Delete Task Stage

Remove stages you no longer use without losing tasks. When you delete a stage, CallProof asks you to choose another stage for existing tasks, so open work moves cleanly and nothing is orphaned.

  1. Open the Task Stages page.
  2. Locate the stage you want to delete.
  3. Click the Delete (red X) icon.
  4. A confirmation dialog appears.
  5. Select the stage that should receive the existing tasks.
  6. Click YES.
  7. All tasks from the deleted stage are moved to the selected stage.
  8. The stage is removed and the Task Stages list refreshes.

Reorder Task Stages

Purpose: Set the left-to-right order of columns on the Task Board so the pipeline reads in the sequence your team uses (for example, Not Started → In Progress → Completed), improving clarity when managing day-to-day tasks.

  1. Open the Task Stages page.
  2. Click and hold the drag handle for a stage.
  3. Drag the stage to the desired position.
  4. Release the mouse button.
  5. The new stage order is saved automatically.

Using Task Stages on the Task Board

  1. Open DashboardFollowupsTask Board.
  2. Tasks are displayed in columns based on their current stage.
  3. Drag a task from one stage to another to update its workflow status.
  4. If the destination stage is mapped to Completed or Not Completed, the task's completion status is updated automatically.

Notes

  • Only managers can create, edit, delete, or reorder task stages.
  • Each stage can be mapped to only one task status.
  • Stages support custom foreground and background colors for the Task Board.
  • Deleting a stage does not delete its tasks. Existing tasks must be moved to another stage before the stage is removed.
