Calendar Sync Settings

Screen purpose: Connect your Google or Microsoft (Office / Outlook) calendar so CallProof tasks can be added to your personal calendar.

How this helps

When calendar sync is set up, CallProof can send tasks to Google and/or Office calendars. Until you link and select a calendar, task screens show a link to set this up instead of the “Add To … Calendar” checkboxes.

How to open Calendar Sync Settings

Option A — Direct address

  1. Sign in to CallProof.
  2. Go to your CallProof site and add /calendar-integration/.
  3. Press Enter.

Option B — From Add Task

  1. Open Add Task (or another task form that includes calendar options).
  2. If sync is not set up, click Link Google® Calendar or Link Office Calendar.
  3. You are taken to Calendar Sync Settings.

Option C — After Google / Microsoft sign-in

  1. If you started linking from this screen, Google or Microsoft returns you here when authorization finishes.

Permissions

  • You must be signed in.
  • Settings apply to your own CallProof user account (each person links their own calendars).
  • You need permission in Google or Microsoft to allow CallProof calendar access when prompted.

What you see

The page has two cards:

Linked account fields

Label Meaning
Google / Office calendar sync is Enabled if a tasks calendar is selected · Disabled if linked but no calendar chosen yet

Why Calendar Sync matters

Action Purpose When to use it
Link Calendar Authorize Google or Microsoft for CallProof. First-time setup, or after a remove / expired login.
Select calendar Choose where tasks are sent. After linking, or when changing calendars.
Add New Calendar Create a dedicated CallProof calendar. Keep work tasks separate from personal events.
Remove Stop sync and clear the linked account. Wrong account, leaving the company, or troubleshooting.
Add To … Calendar (on tasks) Push a task into the selected calendar. Day-to-day follow-ups and appointments.

Link Google Calendar

Steps

  1. Open /calendar-integration/.
  2. Under Google Calendar Setup, click Link Calendar.
  3. Sign in with Google and allow calendar access when asked.
  4. You return to Calendar Sync Settings.
  5. Confirm Linked Google Account shows your email.
  6. Click the edit (pencil) icon next to Sending Tasks to Calendar.
  7. Choose a calendar under Select Calendar.
  8. Status should show Enabled and the selected calendar name.

Good to know

  • Link starts at /calendar-integration/google/ and uses Google sign-in.
  • If Google is already linked, you stay on this settings page.
  • Only calendars you can edit appear in the list (read-only calendars are not offered).

Link Office / Outlook Calendar

Steps

  1. Open /calendar-integration/.
  2. Under Office Calendar Setup, click Link Calendar.
  3. Sign in with your Microsoft account and allow access when asked.
  4. You return to Calendar Sync Settings.
  5. Confirm Linked Office Account shows your email.
  6. Click the edit (pencil) icon.
  7. Choose a calendar under Select Calendar.
  8. Status should show Enabled.

Note on the screen

  • Due to Microsoft services, a newly created calendar may take some time to appear in the list. Refresh the page later if it is missing.

Change the calendar that receives tasks

Steps

  1. Click the edit icon beside Sending Tasks to Calendar (Google or Office).
  2. Open Select Calendar.
  3. Choose the calendar you want.
  4. Success messages:
    • Google calendar changed successfully
    • Office calendar changed successfully

Good to know

  • Sync stays Disabled until a calendar is selected.
  • You can keep both Google and Office linked and send tasks to either (or both) when creating tasks.

Add a new calendar

Add New Calendar

Steps

  1. Expand the Google or Office edit section.
  2. Click Add New Calendar.
  3. Enter a name in Enter Name.
  4. Click Save.
  5. Success: New calendar created.
  6. Select the new calendar (Office may need a short wait / page refresh before it appears).

If something goes wrong

Message What to try
Name can not be blank Enter a calendar name before Save.
Token expired. Please reset your account Remove the link, then Link Calendar again.
Calendar creation failed / Unable to create calendar Try again later, or create the calendar in Google/Outlook and refresh this page.

Remove a linked account

Steps

  1. On the Google or Office card, click Remove.
  2. Confirm if prompted.
  3. Success: Account removed successfully.
  4. The card returns to the “not currently setup” state with Link Calendar.

Good to know

  • Remove clears the selected tasks calendar for that provider.
  • Tasks already created in Google/Outlook are not deleted from those calendars by this action — only CallProof’s link is removed.
  • To use sync again, link and select a calendar.

Using calendar sync when adding a task

Add To Google / Office Calendar on a task

When sync is ready

  1. Create or edit a task.
  2. Check Add To Google Calendar and/or Add To Office Calendar as needed.
  3. Save the task — it is sent to the calendar you selected on Calendar Sync Settings.

When sync is not ready

  1. Task forms show Link Google® Calendar and/or Link Office Calendar instead of the checkboxes.
  2. Click the link, complete setup, then return to Add Task.

Typical workflow

  1. Open /calendar-integration/.
  2. Link Calendar for Google and/or Office.
  3. Select the calendar under Sending Tasks to Calendar.
  4. Confirm status is Enabled.
  5. When adding tasks, use Add To Google Calendar / Add To Office Calendar.
  6. If you switch personal accounts, Remove the old link and connect the new one.

Tips and important notes

  • Browser title is Calendar Setup; the page heading is Calendar Sync Settings.
  • This screen is per user — managers do not set calendars for the whole company here.
  • Linking Google uses Google sign-in; linking Office uses Microsoft sign-in.
  • Enabled vs Disabled means “tasks calendar chosen,” not only “account connected.”
  • You may link both Google and Office at the same time.
  • Office new calendars can lag before they show in the dropdown — wait and refresh.
  • If checkboxes never appear on tasks, confirm both: account linked and a calendar selected.

Need help?

  • Cannot finish Google/Microsoft login: allow calendar permissions and try Link Calendar again
  • Sync shows Disabled: click edit and select a calendar
  • Token expired: Remove, then Link Calendar again
  • Wrong email linked: Remove and link the correct account
  • Tasks not appearing in the calendar: confirm the checkbox on the task and the selected calendar name
  • Other issues: email support@callproof.com
