Autotexts

Screen purpose: Set up missed-call Autotext for a location — callers hear a greeting, can leave a voicemail, and automatically receive text messages, while your team gets email notifications.

  • List Autotext setups by location
  • Add a new location or reuse an existing store location
  • Get / purchase a CallProof (forward) number
  • Assign a public phone number
  • Record or upload a caller greeting
  • Set auto-text messages (up to three, 140 characters each)
  • Choose who gets voicemail and text-reply emails
  • Delete an Autotext setup (when permitted)

What Autotext does

When a call to an Autotext number is missed:

  1. Callers hear your Caller Greeting and can leave a voicemail.
  2. CallProof can send your configured text messages to the caller.
  3. Voicemail notification emails go to the addresses you set.
  4. SMS reply notification emails go to the addresses you set.

How to open Autotexts

Option A — Main menu / Quick Links

  1. Sign in to CallProof.
  2. Open Autotext / Autotexts from the menu, or use Quick Links → Autotext from related screens (Accounts, Companies, and others when available).

Option B — Direct address

  1. Go to your CallProof site and add /autotext/.
  2. Press Enter.

Option C — Quick Links on the Autotexts page

  1. From Autotexts, use Quick Links for:
    • Autotexts
    • Recorded Calls
    • Text Messages

Permissions

  • You must be signed in.
  • Creating and configuring Autotext usually requires Twilio / phone-number access for your company.
  • Delete requires manager access plus phone-number permissions; otherwise CallProof may block delete or redirect you.
  • Recording a greeting by phone requires an active Caller ID and a default phone on your profile.

Why Autotext matters

Action Purpose When to use it
Add Autotexts Create a missed-call Autotext for a location. New store or phone line.
Get Number (A) Buy/assign the CallProof number that handles Autotext. After creating a location with no forward number yet.
Assign Number (P) Link a public Twilio number to the setup. When callers should reach a public Autotext number.
Manage Greeting / Messages / Recipients Control what callers hear and who is notified. Onboarding and ongoing updates.

Add Autotexts

Popup title: Add Autotext Address: /autotext/new/ (and existing location: /autotext/new/existing/)

Option 1 — Name a new location

  1. Click Add Autotexts.
  2. Under Name the location you are setting up:
    • Enter Location Name
    • Enter Phone Number
  1. Click Save.
  2. Success: Location added successfully.
  3. You are taken to Purchase Phone Number for that Autotext.

Option 2 — Choose an existing location

  1. In the same popup, under Choose an existing location (if stores exist):
    • Select Location Name
    • Select Phone Number (loads from that store)
  1. Click Save.
  2. Success: Location added successfully.
  3. The list refreshes.

Get / purchase a phone number (A)

Steps

  1. From the list, click Get Number, or open Edit and click Get Phone Number.
  2. Use the filter (country, area code, optional Toll Free).
  3. Search available numbers.
  4. Purchase / select the number you want.
  5. Success when purchase completes (for example Phone number purchased).
  6. The list shows the number with (A) (Autotext / forward number).

Good to know

  • Without this number, Autotext cannot fully handle missed calls for that location.
  • If purchase fails: Phone number purchase failed — try another number or contact support.

Assign a public phone (P)

Steps

  1. On the list, click Assign Number (or the existing public number).
  2. Or on Edit Autotext, click Manage Public Phone / the public phone link.
  3. Choose a public phone number.
  4. Click Submit.
  5. Success: Public phone updated successfully.
  6. You may be guided to manage the greeting next.

Manage Greeting

Edit Greeting

Popup title: Edit Greeting

Steps

  1. On Edit Autotext, click Manage Greeting.
  2. Choose how to create the voicemail greeting:
    • Upload wav/mp3 file — select a .wav or .mp3 file, then Submit
    • Call My Phone — click Call Now to record by phone (requires Caller ID / default phone)
  1. If a recording already exists, play it, then Confirm or Try Again.
  2. Success: Auto-text greeting message saved successfully.

If Call My Phone is unavailable

  • Link to Setup Caller ID (/caller/callerid/new/).
  • Or messages such as Caller ID not active / default phone not set / recorded calling inactive.

Manage Messages (auto texts to callers)

Steps

  1. Click Manage Messages.
  2. Enter up to three messages:
    • Message One
    • Message Two
    • Message Three
  1. Each message is max 140 characters.
  2. Save / Submit.
  3. Success: Auto-text message saved successfully.
  4. You may be taken next to Message Recipients.

Good to know

  • These texts are sent to each person who calls, whether or not they leave a voicemail.

Manage Voicemail and SMS recipients

Message Recipients

Popup title: Message Recipients Address: /autotext/edit/<id>/recipients/

Steps

  1. Click Manage Voicemail Recipients or Manage SMS Recipients (same recipients popup).
  2. For voicemails:
    • Enter emails (comma-separated), and/or
    • Select Members of your company directory (Select All / Clear available)
  1. For replied-to text messages:
    • Enter emails (comma-separated), and/or
    • Select company directory members
  1. Submit.
  2. Success: Auto-text recipients saved successfully.

Delete an Autotext

Steps

  1. On the list, click the trash icon for that row.
  2. Confirm delete when prompted.
  3. Success: Auto text deleted successfully.
  4. If you lack permission: you may see a permission / not a manager message and the Autotext stays.

Typical workflow

  1. Open /autotext/.
  2. Add Autotexts (new or existing location).
  3. Get Number (A) and optionally Assign Number (P).
  4. Open EditManage Greeting.
  5. Manage Messages (up to three auto texts).
  6. Manage Voicemail / SMS Recipients.
  7. Click Confirm on the edit page.
  8. Test a missed call to the Autotext number and verify greeting, SMS, and email notifications.

Tips and important notes

  • List title is Autotexts; menu links often say Autotext.
  • (A) = Autotext/forward CallProof number · (P) = public number.
  • Greeting upload accepts .wav or .mp3 only.
  • Auto-text messages are limited to 140 characters each (three slots).
  • Separate recipient emails with commas.
  • Use Quick Links to jump to Recorded Calls and Text Messages for related activity.
  • Edit browser title may look wrong; trust the Autotexts » Edit Autotext breadcrumb.

Need help?

  • No auto texts found: click Add Autotexts and create a location
  • Get Number missing after add: open the row’s Get Number / Purchase Phone Number flow
  • Cannot record by phone: set up Caller ID and a default phone, then try Call Now again
  • Callers get no texts: Manage Messages and confirm a forward/public number is assigned
  • No notification emails: Manage Recipients and verify email addresses
  • Cannot delete: ask a manager with phone-number delete permission
  • Other issues: email support@callproof.com
