Custom Fields
Use Custom Fields to add extra data fields to your accounts (contacts), beyond the standard name, address, and phone fields. Managers create and manage these fields. Your team then fills them in on account pages, searches, event forms, and reports.
Navigation: Settings Icon Hover → Settings & Customization → Custom Fields
From Custom Fields you can also:
- Add a new custom field
- Edit or delete a field
- Manage dropdown / radio / multi-select options
- Reorder fields
- Mark fields as required or locked (when your company uses those settings)
Permissions
- You must be signed in to use CallProof.
- Only managers can open Custom Fields setup (
/cfields/), add fields, edit fields, delete fields, and manage options. - Non-managers are redirected away from these setup pages.
- All users with account access can fill in custom fields on accounts (and related screens), once managers have created them.
- Company menu permissions control whether Custom Fields appears in your sidebar.
- Required and Lock columns appear only if your company has custom-field required settings turned on.
What you see on the Custom Fields list
Header
- Title: Custom Fields
- Add Custom Field button
Table columns
- Field Name — name of the custom field
- Field Type — type of input (Text, Select, Date, and so on)
- Required — shown when company required settings are on (check mark if required)
- Lock — shown when company required settings are on (check mark if locked)
- Actions
- Options — manage choices (for Select, Radio, Multiple Select, and Auto fields)
- Edit — change field settings
- Delete — remove the field
- Sort handle — drag to change field order
- Alphabetical sort icon — sort fields A–Z
Messages you may see
- Success messages after add, update, or delete
- Error messages if a field is missing or an action fails
- Permission message if a non-manager tries to open setup
Field guide
Field Name
- The label users see on account screens.
- Required when creating or editing.
- Maximum length is 64 characters.
Field Type
Common types include:
- Text — short text
- Textarea — longer notes
- Select — choose one option from a list
- Multiple Select — choose more than one option
- Radio — choose one option using radio buttons
- Checkbox — yes/no style check
- Integer — whole numbers
- Decimal — numbers with decimals
- Date / Time / Datetime — date and time values
- Auto Integer — automatically calculated number field
- Image — image upload (when available for your company)
Tip: Select, Radio, and Multiple Select fields need Options after you create them.
Hide on Checkout
- When checked, the field is hidden in checkout-related flows.
Contact Personnel Field
- When checked, the field is treated as a contact-personnel field (people linked to the account).
Required At Checkout
- When available and checked, the field must be filled in at checkout.
- Not used for some auto fields.
Lock Field
- When available and checked, the field is locked so users cannot change it freely.
Default Value
- On edit, for list-style fields, you may choose a default option from the options you already created.
Add a Custom Field
- Open Custom Fields.
- Click Add Custom Field.
- Enter Field Name.
- Choose Field Type.
- (Optional) Check Hide on Checkout.
- (Optional) Check Contact Personnel Field.
- (If shown) Set Required / Lock options as needed.
- Click Save.
- If the type is Select, Radio, or Multiple Select, CallProof opens the Options screen so you can add choices.
- For other types, the list refreshes and your new field appears.
Edit a Custom Field
- Open Custom Fields.
- Click the Edit (pencil) icon for the field.
- Update Field Name and/or Field Type as needed.
- (If shown) Choose a Default Value from existing options.
- Update Hide on Checkout, Required At Checkout, Lock Field, and Contact Personnel Field as needed.
- Click Update.
- The list refreshes with your changes.
Delete a Custom Field
- Open Custom Fields.
- Click the trash (Delete) icon for the field.
- Confirm the delete when asked.
- The field is removed from the list.
Note: Deleting a field removes it from setup. Ask your administrator before deleting fields that are already used on accounts, forms, or reports.
Reorder Custom Fields
- Open Custom Fields.
- Drag the sort handle (aligned lines icon) up or down to change order.
- Or click the alphabetical icon in the header to sort by name.
- Drag/sort controls are available when there is more than one field.
Manage field options (Select / Radio / Multiple Select)
Use this when users need a list of choices.
How to open Options
- Open Custom Fields.
- Click the Options icon for a Select, Radio, Multiple Select, or Auto field.
- Or, after creating a Select / Radio / Multiple Select field, CallProof may open Options automatically.
Add an option
- On the Options screen, enter Option Name.
- Click Add.
- The option appears in the Options list.
Edit an option
- In the Options table, click Edit for the option.
- Change the name (and default setting if shown).
- Click Save (or the save icon) to keep the change.
- Click Close if you want to cancel editing.
Delete an option
- Click the trash icon for the option.
- Confirm when asked.
- The option is removed.
Reorder options
- Drag the sort handle next to an option to change its order.
- Or use alphabetical sort when available.
Return to the field list
- Open Custom Field Actions.
- Click Custom Fields.
Auto Integer options (special case)
- Open Custom Fields.
- For an Auto Integer field, click Options.
- A special auto-options screen opens.
- Choose how the value is calculated (using related integer / auto fields and actions your company supports).
- Save your settings.
- Return to Custom Fields when finished.
Where Custom Fields appear for users
After managers create fields, team members use them in daily work:
- Open an Account / Contact.
- Find the custom fields section on the account edit or details screen.
- Enter or update values for each field.
- Save the account.
- Custom fields may also appear in:
- Account search filters
- Event Forms
- Opportunities / sales screens (when configured)
- Reports and exports (when configured)
Tips and important notes
- Only managers manage Custom Fields at
/cfields/. - Create list options for Select, Radio, and Multiple Select before expecting users to pick values.
- Field order on this list affects how fields appear on account screens.
- Required and Lock depend on your company settings; they may not show for every company.
- Changing a field type after data exists can confuse existing values—plan changes carefully.
- Hide on Checkout only affects checkout-related display, not the whole Custom Fields list.
- Custom Fields here are account (contact) fields. Event Forms can also use custom fields; manage event-form-specific fields from Event Forms when needed.
Need help?
- Cannot open Custom Fields: confirm you are a manager, or ask your administrator
- Field missing on an account: confirm it was created and is not hidden for that flow
- Options icon disabled: that field type may not use a choice list
- Other issues: email support@callproof.com
