Appointments

Screen title: Appointments Browser title: Appointments Address: /appointments/

Use this screen to review appointments logged against accounts. You can filter the list, open accounts, add tasks, end appointments, delete appointments (managers), build a route, estimate mileage, and export.

Appointments are usually started in the field (mobile app / check-in) or from account workflows — this page is mainly for reviewing and managing them.

From this screen you can:

  • View appointments in a table
  • Filter by user, sort, type (In Person / Virtual), and dates
  • View or edit appointment notes
  • Open the linked account
  • Add a task for the account
  • End an open appointment (managers)
  • Delete an appointment (managers)
  • Add accounts to a route and Save Route
  • Run Task Actions (Mileage Estimator / report)
  • Export appointments (when export is available)

How to open Appointments

Option A — From the main menu

  1. Sign in to CallProof.
  2. In the left sidebar, open Appointments (label may vary by company setup).

Option B — From Quick Links (Tasks area)

  1. Open Tasks / Follow-ups.
  2. Click Quick Links.
  3. Choose Appointments.

Option C — From the Dashboard

  1. Open the Dashboard.
  2. Use an Appointments link or tile when shown.

Option D — Open Appointments directly

  1. Open your web browser.
  2. Go to your CallProof website and add /appointments/ at the end of the address (for example: https://appv2.callproof.com/appointments/).
  3. Press Enter.
  4. The Appointments list appears.

Permissions

  • You must be signed in.
  • You see appointments you are allowed to view (based on role and filters).
  • Managers / market managers see User and Appointment Type filters.
  • Managers can End Appointment and Delete.
  • Start location details (lat/lon warnings) are emphasized for managers / market managers.
  • Export requires export access when your company enables it.
  • Company menu permissions control whether this screen appears in your sidebar.

What you see on the screen

Header

  • Title: Appointments
  • Save Route (with route count)
  • Task Actions
  • Filter button

Appointment Type meanings

  • In person — started near the account (within about 5 miles)
  • Virtual — started farther away (about 5+ miles)
  • Unable to locate — missing GPS for start location

Empty state

  • If nothing matches: No appointments found

Field guide (Appointments Filter)

User (managers / market managers)

  • Filter by one or more reps.
  • Optional: Show Inactive Users
  • Select All / Clear

Sort

  • Date
  • Reverse Date (default)
  • Duration
  • Reverse Duration

Appointment Type (managers / market managers)

  • In Person
  • Virtual

Start Date / End Date

  • Limit appointments to a date range.

Filter buttons

  • Apply Filters
  • Clear Filters

Why key actions matter

Action Purpose When to use it
Filter Narrow the list by people, type, dates, or sort order. Daily review, coaching, or preparing a mileage run.
End Appointment Close an open appointment by setting duration (and end location when available). Appointment was started but never ended in the field.
Delete Remove an appointment that should not remain in history. Duplicate or incorrect appointment (managers only).
Add Task Create a follow-up task for the same account. After a visit, schedule next steps.
Save Route / Add Route Collect accounts from appointments into a driving route. Plan a visit path for selected stops.
Task Actions → Mileage Estimate travel distance/time for selected or searched appointments. Expense / travel planning (max 100 appointments).
Export Download appointment results for reporting. Manager reporting or offline analysis.
Edit Notes Update notes without changing the appointment schedule itself. Add coaching or visit comments.

View Appointments

Appointments list
  1. Open Appointments (/appointments/).
  2. Review Rep, Date, Type, Account, and Actions.
  3. Click an account name to open the account.
  4. Click the notes (eye) icon when enabled to read notes.
  5. Use pagination when the list is long.

Filter Appointments

Appointments Filter
  1. Click the Filter button (panel may already be open).
  2. (Managers / market managers) Select User and/or Appointment Type.
  3. Choose Sort.
  4. Set Start Date and End Date if needed.
  5. Click Apply Filters.
  6. Click Clear Filters to reset, then apply again.

View or edit Notes

Appointment notes
  1. Click the notes (eye) icon on a row.
  2. Read or change the notes in the popup.
  3. Save when prompted.
  4. The list refreshes.

End an Appointment (managers)

Purpose: Close an appointment that still has no duration (still “open”).

Address pattern: /appointments/<id>/end/

Steps

  1. Confirm you are a manager.
  2. Find a row where End Appointment is available (not already ended).
  3. Click the End Appointment (schedule) icon.
  4. In End Appointment, enter Duration in minutes (required; greater than 0).
  5. Default is often 30 minutes.
  6. Save / confirm.
  7. Duration and end location (when GPS is available) are stored.
  8. If the appointment is already ended, the icon shows Appointment Ended instead.

Tip: Prefer ending from the mobile/field workflow when possible so end GPS is accurate.

Delete an Appointment (managers)

Delete Appointment

Purpose: Remove an appointment from the company list.

Steps

  1. Confirm you are a manager.
  2. Click the Delete (trash) icon.
  3. Confirm the delete prompt.
  4. The appointment is removed and the list refreshes.

Caution: Confirm before deleting — this removes the appointment record.

Add a Task from an Appointment

  1. In Actions, click the Add Task (+) icon.
  2. You go to Add Task for that appointment’s account.
  3. Complete and save the task.
  4. Return to Appointments when finished.

Save Route / Add Route

Save Route

Purpose: Build a multi-stop route from appointment accounts that have map coordinates.

Steps

  1. On a row with map coordinates, click Add Route (map icon).
  2. The icon switches to Remove Route for that account; the Save Route count increases.
  3. Repeat for other appointments you want on the route.
  4. Click Save Route in the header.
  5. Follow the Save Route flow to store/open the route.
  6. Use Remove Route on a row to take that account off the pending route list.

Note: Rows without account lat/lon cannot be checked or added to the route.

Task Actions (Mileage Estimator)

Task Actions

Purpose: Estimate mileage/time for selected appointments or all appointments in the current search.

Steps

  1. (Optional) Check appointment checkboxes (or use the header checkbox to select all selectable rows on the page).
  2. Click Task Actions.
  3. Choose an action:
    • View Mileage Estimator
    • Get Mileage Estimator Report
  4. Choose scope:
    • Just the appointments I've selected on this page
    • All appointments I've searched for
  5. Continue / submit.
  6. Review the Mileage Estimator results (breadcrumb: Appointments → Mileage Estimator).
  7. Export from that screen if needed.

Rules

  • Only appointments whose accounts have coordinates are selectable.
  • No more than 100 appointments for a mileage run.
  • Apply filters first if you want “all searched” to match a specific set.

Export Appointments

Appointment Export
  1. Load appointments (apply filters as needed).
  2. When results appear, use Export Appointments Report / export control (also available from Tasks Quick Links → Export Appointments).
  3. Follow the export popup (optional file name / run).
  4. For recurring exports, open Schedule Appointment Exports when offered (/appointments/schedule_exports/).

How appointments usually get created

This list does not have a primary “Add Appointment” button like Goals or Badges.

Typical ways appointments appear:

  • Started from the mobile app / field check-in at an account
  • Started from account workflows / event form flows that create an appointment entry
  • Synced or related calendar integrations (Google / Office) when your company uses them

After they exist, manage them here: filter, end, delete, route, mileage, export.

Tips and important notes

  • Default sort is often Reverse Date (newest first).
  • In Person vs Virtual is based on start distance from the account.
  • Missing GPS shows Unable to locate warnings.
  • Managers see stronger location detail (start lat/lon links to Google Maps).
  • End Appointment is only for appointments that still need a duration.
  • Delete and End are manager actions.
  • Checkboxes appear only when the account has map coordinates.
  • Mileage estimator allows up to 100 appointments.
  • Filter settings stay in your session until you change or clear them.
  • Use Clear Filters if the list looks empty after a narrow search.

Need help?

  • No appointments found: clear filters or widen dates
  • Cannot end/delete: confirm you are a manager
  • Cannot select a row: account may be missing map coordinates
  • Mileage blocked / error: select fewer than 100 appointments with locations
  • Notes icon greyed out: no notes yet — open notes to add if your workflow allows
  • Export missing: confirm results loaded and you have export permission
