Notes Report

Screen title: Notes Report Browser title: Notes Report Address: /contacts/notes/report/

Use this screen to search and review account notes across your company in one list. Each row is a note written by a rep on an account, with when it was created and where it came from (for example Add Note, appointment, or task). Navigation: Report Icon HoverNotes Report

From this screen you can:

  • Browse notes in a table
  • Filter by date, user, market, sort, and keywords
  • Open the related account
  • Export a Contact Notes Report (background job + email / Exports page)
Notes Report

How to open Notes Report

Option A — From the main menu

  1. Sign in to CallProof.
  2. In the left sidebar, open Contacts / Accounts / Reports (label may vary by company setup).
  3. Choose Notes Report when available.

Option B — Open Notes Report directly

  1. Open your web browser.
  2. Go to your CallProof website and add /contacts/notes/report/ at the end of the address (for example: https://appv2.callproof.com/contacts/notes/report/).
  3. Press Enter.
  4. The Notes Report appears.

Option C — From Quick Links

  1. On the Notes Report header, use Quick Links when shown.
  2. Related links may include Tasks, Appointments, and other follow-up tools.

Permissions

  • You must be signed in.
  • You see notes for accounts/users you are allowed to view.
  • If your profile has Just My Events, you mainly see notes you created.
  • Managers and market managers can filter by User and Markets.
  • Export uses your export permissions; finished files are emailed and also available under Exports.
  • Company menu permissions control whether this screen appears in your sidebar.

Notes table

Empty state

  • If nothing matches: No notes found

Export

  • Export (CSV icon) appears when the list has loaded.
  • Opens Export Contact Notes to schedule a background export.

Field guide (Notes Filter)

Click the Filter button to open the filter panel.

Start Date / End Date

  • Limit notes to a created-date range.
  • Leave blank to not restrict by that side of the range.

User (managers / market managers)

  • Filter by one or more sales reps.
  • Optional: Show Inactive Users
  • Select All / Clear

Sort

  • Date — oldest first
  • Reverse Date — newest first (common default)

Markets (managers / market managers)

  • Filter by one or more markets.
  • Select All / Clear

Keywords

  • Search text inside note content.
  • Use a word or phrase that appears in the notes you want.

Filter buttons

  • Apply Filters — refresh the list
  • Clear Filters — reset and search again

Why this screen matters

Action Purpose When to use it
View Notes Report See notes from many accounts in one place instead of opening each account. Coaching, audits, or finding what was said about an account.
Filter Narrow by date, people, markets, sort, or keywords. “What did the team note last week?” or “Find notes mentioning renewal.”
Open Account Jump from a note row to the full account record. Follow up after reading a note.
Export Generate a Contact Notes Report file in the background and receive it by email. Share notes offline or keep a dated extract; large sets take longer.

Note: This report is for viewing and exporting notes. Add or edit notes from an Account (or from appointment/task note flows), not as a primary “Add Note” button on this page.

View the Notes Report

Notes list
  1. Open Notes Report (/contacts/notes/report/).
  2. Review Rep, Account, Notes, Date, and Source.
  3. Click an Account name to open that account.
  4. Use pagination when there are many notes.

Filter notes

Notes Filter
  1. Click the Filter button.
  2. Set Start Date and/or End Date.
  3. (Managers / market managers) Select User and/or Markets.
  4. Choose Sort (Date or Reverse Date).
  5. (Optional) Enter Keywords.
  6. Click Apply Filters.
  7. The table refreshes.
  8. Click Clear Filters to reset, then apply again.

Export Contact Notes

Export Contact Notes

Purpose: Create a downloadable Contact Notes Report from your current filters (runs in the background).

Address: /contacts/notes/report/export/

Steps

  1. Apply the filters you want first (so the export matches what you care about).
  2. Confirm the list shows notes (Export appears after load).
  3. Click Export.
  4. In Export Contact Notes:
    • If no export is running, click Create Contact Notes Report.
    • Read the notice that the report is generated behind the scenes and emailed when finished.
    • If a previous export completed, you may see the last completed time and a file link.
    • If an export is already in process, wait until it finishes before starting another.
  5. When complete, check your email, or open Exports (/users/list/export/ or your user export list) to download the file.

Tips

  • Large date ranges take longer.
  • Only one notes export may run at a time for you until the current one completes.
  • Finished files also appear on the Exports hub documented under Exports.

Where notes come from

Notes in this report are account notes created elsewhere in CallProof, for example:

  • Add Note on an account
  • Notes tied to appointments or other activity (Source may show Add Note or Appt when source type is unclear)
  • Task-related or other source types when your company records a source name

Use Source to see how the note was logged.

Related screens

  • Account / Contact edit — add and edit notes on a single account
  • Exports/users/list/export/ — download finished export files
  • Appointments / Tasks — activity that may create related notes

Tips and important notes

  • Default sort is often Reverse Date (newest first).
  • Keyword search looks inside the note text.
  • Managers use User and Markets to coach a team or territory.
  • Just My Events users mainly see their own notes.
  • Export is asynchronous — do not expect an instant CSV download in the same click for large sets.
  • Filter settings stay in your session until you change or clear them.
  • Click Account to act on the note in context (call, task, update).

Need help?

  • No notes found: widen dates, clear User/Markets/Keywords, or confirm notes exist on accounts
  • Missing User / Markets filters: you may not be a manager or market manager
  • Export button hidden / blocked: wait for an in-progress export to finish
  • No email file: check spam, then open Exports for your user
  • Account link missing name: account may have no company name set — still try opening from the row when linked
  • Other issues: email support@callproof.com
