Opportunity Stages

Address: /funnel/oppstages/
Use this screen to set up the pipeline stages your company uses for opportunities (for example Lead, Qualified, Proposal, Won, Lost). Stages become the columns on the Sales Funnel board and the Stage choices when users add or edit an opportunity.
From this screen you can:
- Add a new stage
- Edit a stage (name, probability, emails, colors, All Unassigned)
- Delete a stage
- Reorder stages (drag handle or alphabetical sort)
- Open related Funnel pages from Quick Links

How to open Opportunity Stages
Option A — From Quick Links
- Sign in to CallProof as a manager.
- Open a Funnel page such as Opportunities Report or Opportunity Types.
- Click Quick Links.
- Choose Opportunity Stages.
- Sign in as a manager.
- In the left sidebar, open the Opportunities / Funnel area (label may vary by company setup).
- Choose Opportunity Stages when available.
Option C — Open Opportunity Stages directly
- Open your web browser.
- Go to your CallProof website and add
/funnel/oppstages/at the end of the address (for example:https://appv2.callproof.com/funnel/oppstages/). - Press Enter.
- The Opportunity Stages list appears (managers only).
Permissions
- You must be signed in.
- This screen (and Add / Edit / Delete) is manager-only.
- Non-managers cannot manage stages here.
- Stages you create are used company-wide on the Sales Funnel and opportunity forms.
- Company menu permissions control whether this screen appears in your sidebar.

Header

Empty state
- If none exist: No opportunity stages found
Field guide (Add Stage / Edit Stage form)
These fields appear on both Add Stage and Edit Stage.
Opportunity Stage
- Required.
- The display name of the stage (for example “Proposal”).
- Shown as a column on the Sales Funnel and as Stage on opportunity forms.
Default Probability
- Number from 1–100 (UI hint); system stores 0–100.
- When an opportunity moves into this stage, this probability is typically applied.
- Used in Derived value (value × probability %).
Email IDs
- Optional.
- People to notify when an opportunity enters this stage.
- Enter multiple emails as a list (separated by commas, spaces, or line breaks).
- Up to 6 valid emails are saved.
- Help text: “Use to send email notification when account comes under this stage.”
All Unassigned
- On/off toggle.
- When on, the stage’s probability may show in red on the stages list.
- Use according to your company’s pipeline rules for unassigned opportunities.
Opportunity Foreground Color (Opp FG)
- Color for opportunity display (text/foreground).
- Use the color picker or enter a hex code (for example
#ffffff). - Required valid color.
Opportunity Background Color (Opp BG)
- Background color for opportunity display.
- Default often starts as
#000000if empty on Add.
Funnel Foreground Color (Funnel FG)
- Color used on the Sales Funnel board for this stage.
Funnel Background Color (Funnel BG)
- Background / bar color on the Sales Funnel board for this stage.
Why Add, Edit, and Delete matter
| Action | Purpose | When to use it |

| Add Stage | Create a new step in your sales pipeline so reps can place opportunities in that step and see it as a Funnel column. | New pipeline step (for example “Demo Scheduled”), launching CallProof for the first time, or splitting an existing stage into clearer steps. |
| Edit Stage | Change how a stage behaves and looks without rebuilding the pipeline — name, default probability, notification emails, colors, and All Unassigned. | Rename a stage, change win % for forecasting, update who gets notified, or refresh Funnel colors for clarity. |
| Delete Stage | Remove a stage you no longer use from the company pipeline. | Stage was created by mistake, merged into another stage, or is obsolete — only after moving opportunities off that stage (see Delete warning below). |
View Opportunity Stages
- Open Opportunity Stages (
/funnel/oppstages/). - Review Name, Probability %, and color swatches for each stage.
- Click a color swatch or the stage name to open Edit.
- Use pagination if there are many stages.
Add a Stage
Create a new pipeline stage so it appears on the Sales Funnel and in opportunity Stage lists
Address: /funnel/opportunity_stages/new/
Steps
- On Opportunity Stages, click Add Stage.
- The Add Stage page opens (breadcrumb: Opportunity Stages → Add Stage).
- Enter Opportunity Stage name (required).
- Set Default Probability (1–100 recommended).
- (Optional) Enter Email IDs for stage-entry notifications (up to 6).
- (Optional) Turn All Unassigned on or off.
- Choose Opportunity Foreground and Background colors (picker or hex).
- Choose Funnel Foreground and Background colors.
- Click Save.
- Or click Cancel to return without saving.
- After a successful save, you return to the Opportunity Stages list.
- Confirm the new stage appears; reorder it if needed so the Funnel column order matches your process.
After you add
- The stage becomes a column on Opportunities (Sales Funnel) at
/funnel/new/. - Users can select it when adding or editing an opportunity.
- Dragging a card into this stage on the Funnel applies this stage’s default probability.
Edit a Stage
Update an existing stage’s name, probability, notifications, colors, or All Unassigned setting without deleting it.
Address: /funnel/opportunity_stages/<id>/edit/
- On the stages list, click the stage Name, a color swatch, or the Edit icon.
- The Edit Stage page opens (breadcrumb: Opportunity Stages → Edit Stage).
- Change any of these as needed:
- Opportunity Stage name
- Default Probability
- Email IDs (replace or clear the notification list)
- All Unassigned toggle
- Opp FG / Opp BG / Funnel FG / Funnel BG colors
- Click Save to apply changes.
- Or click Cancel to leave without saving.
- You return to the Opportunity Stages list after a successful save.
- Open the Sales Funnel to confirm column colors and order still look correct.
What editing does not do
- Edit does not create a new stage (use Add for that).
- Changing probability updates the stage default; existing opportunities keep their current probability until they are moved or updated again.
- Editing colors updates how the stage looks going forward on Funnel / opportunity displays.
Delete a Stage
Remove a stage from your company’s pipeline when it should no longer be used.
Steps
- On the stages list, click the Delete (trash) icon for the stage.
- Confirm the delete prompt.
- The stage is removed from the list.
- Refresh the Sales Funnel to confirm the column is gone.
Critical warning before you delete
- Opportunities are linked to stages.
- Deleting a stage can also remove opportunities that are still in that stage (and related stage data).
- Before deleting:
- Open Opportunities Report or the Sales Funnel.
- Move every opportunity out of the stage you plan to delete (drag to another stage, or edit each opportunity).
- Confirm the stage column is empty.
- Then delete the stage.
- Prefer Edit (rename / recolor) instead of Delete when you only need to change how the stage works.
- Prefer creating a replacement stage and moving deals first if you are restructuring the pipeline.
After you delete
- The stage no longer appears in Stage dropdowns or as a Funnel column.
- Notification emails for that stage are removed with it.
- Do not delete “Won” / “Lost” or other critical stages until your process has a replacement.
Reorder Stages
Control the left-to-right order of columns on the Sales Funnel and the order stages appear in lists.
Drag to reorder
- Find the drag handle (bars icon) on the right side of a row.
- Drag the row up or down.
- Release to save the new order.
Sort alphabetically
- In the table header, click the alphabetical (A–Z) icon.
- Stages are sorted by name.
Tip: Order stages to match your real sales process (early stages first, closed stages last).

Where stages are used
After you set up stages here, they appear when users:
- View the Sales Funnel board (one column per stage)
- Drag and drop opportunities between stages
- Add or Edit an opportunity and choose Stage
- Receive email notifications (if Email IDs are set for that stage)
- Review Stage on Opportunities Report
Tips and important notes
- Set up stages before reps build a large pipeline.
- Keep probability realistic (for example early stages lower %, late stages higher %).
- Use Funnel colors that are easy to tell apart on the board.
- Use Email IDs for stages where managers need alerts (for example “Negotiation” or “Won”).
- Opportunity Stage name is required — Save stays blocked until a name is entered.
- Colors must be valid hex codes (color picker helps).
- Never delete a stage that still has opportunities — move them first.
- Only managers manage this list; all users with opportunity access can still select stages on forms and the Funnel.
Need help?
- Page blocked / redirected: confirm you are a manager
- No opportunity stages found: click Add Stage to create the first one
- Save fails: check required stage name and valid color codes
- Probability looks red on the list: All Unassigned may be on for that stage
- Stage missing on Funnel: confirm it was saved and refresh the board
- Accidental delete concern: contact support immediately; always empty a stage before deleting
