Tasks

Screen title: Tasks Browser title: Tasks Address: /followups/

Use this screen to manage your company’s tasks (also called follow-ups). Tasks are scheduled work items tied to an account — call back, visit, send info, and similar follow-up work.

Tasks

From this screen you can:

  • View and filter tasks
  • Add a task
  • Edit a task
  • Complete / incomplete a task (toggle)
  • Delete a task (managers)
  • View or edit task notes (and show more account task notes)
  • Call or text from phone numbers when calling features are enabled
  • Add accounts to a route and Save Route
  • Run Task Actions (reassign, bulk complete / incomplete)
  • Export tasks when results are available

How to open Tasks

Option A — From the main menu

  1. Sign in to CallProof.
  2. In the left sidebar, open Tasks / Follow-ups (label may vary by company setup).

Option B — From Quick Links

  1. Open a related page such as Appointments or Task Board.
  2. Click Quick Links.
  3. Choose Tasks.

Option C — Open Tasks directly

  1. Open your web browser.
  2. Go to your CallProof website and add /followups/ at the end of the address (for example: https://appv2.callproof.com/followups/).
  3. Press Enter.
  4. The Tasks list appears.

Permissions

  • You must be signed in.
  • Signed-in users with access can view tasks they are allowed to see.
  • Add Task, Edit, and complete/incomplete are available to users with task access.
  • Delete is manager-only.
  • Reassign in Task Actions is for managers / market managers.
  • User and Markets filters appear for managers / market managers.
  • Call / SMS buttons depend on company Twilio and related calling settings.
  • Company menu permissions control whether this screen appears in your sidebar.

What you see on the screen

Header

  • Title: Tasks
  • Save Route (with route count)
  • Task Actions
  • Add Task
  • Filter button

Empty state

  • If nothing matches: No tasks found

Auto-refresh

  • The list can refresh about every 60 seconds while the page is open.

Field guide (Task Filter)

Click Filter to open the task filter panel.

User (managers / market managers)

  • Filter by one or more reps.
  • Optional: Show Inactive Users
  • Select All / Clear

Task Priority

  • Filter by priority (for example High / Medium / Low — names come from your company list).

Task Type

  • Filter by task type (from Task Action Steps).

Markets (managers / market managers)

  • Filter by one or more markets.
  • Select All / Clear

Sort

  • Date
  • Reverse Date
  • Duration
  • Reverse Duration

Start Date / End Date

  • Limit tasks to a date range.
  • Default often starts as today through tomorrow if not set yet.

Task Status

  • Blank / all
  • Completed
  • Not Completed

Max Result

  • Cap how many tasks are returned (similar to other search limits: 50, 100, and larger options).

Filter buttons

  • Apply Filters / Clear Filters (standard filter panel buttons)

Why Add, Edit, Complete, and Delete matter

Action Purpose When to use it
Add Task Create a new follow-up for an account (and assign a rep when you are a manager). After a call/visit, or when work must happen on a future date.
Edit Task Change date, type, priority, notes, assignment, or other task fields without deleting it. Reschedule, re-prioritize, or correct task details.
Complete / Incomplete Mark work done, or reopen a task that still needs work. Finish a call-back; undo if marked complete too early.
Delete Remove a task that should not remain (managers). Duplicate or created by mistake.
Task Actions Bulk reassign, complete, or incomplete selected or searched tasks. Manager cleanup or handoff after filtering a set of tasks.
Save Route Build a driving route from task accounts that have map coordinates. Plan field visits for open tasks.

View Tasks

Tasks list
  1. Open Tasks (/followups/).
  2. Review Sales Rep, Date, Type, Account, Phone, and Status.
  3. Click an account name to open the account.
  4. Use pagination when the list is long.
  5. The list may auto-refresh about once a minute.

Filter Tasks

Task Filter
  1. Click the Filter button.
  2. Set User, Priority, Type, Markets, Sort, dates, Status, and Max Result as needed.
  3. Apply the filter.
  4. Clear filters when you want the default date window again.

Add a Task

Schedule a new follow-up so it appears on the Tasks list (and related Task Board when used) Address: /followups/new_task/ (Also: /followups/add_task/<contact_id>/ from an account or appointment.)

Steps

  1. Click Add Task (or open Add Task from Quick Links / an account).
  2. If you are a manager / market manager, choose Task Assignment (one or more reps) when shown.
  3. Select or search the Company / Account (required when not already on an account).
  4. Choose Task Priorities.
  5. (Optional) Enter Notes.
  6. Set date/time, duration, task type, and other fields shown on the form (people, phone, stage, and calendar options when your company uses them).
  7. Save the task.
  8. Return to Tasks to confirm it appears (adjust filters/dates if needed).

Tip: You can also add a task from an Appointment row or from an Account page.

Edit a Task

Update an existing task’s details. Address: /followups/edit_task/<id>/

Edit Task

Steps

  1. In Actions, click the Edit icon.
  2. Change priority, notes, dates, type, assignment, or other fields as needed.
  3. Save.
  4. Return to the Tasks list to confirm the update.

Complete or reopen a Task

Task status

Purpose: Mark a task finished, or set it back to not completed.

Steps

  1. In Task Status, use the toggle for that row.
  2. Checked = Completed.
  3. Unchecked = Not completed / incomplete.
  4. The list refreshes after the status saves.

Bulk option: Use Task Actions → Mark as Completed / Mark as InCompleted for many tasks at once.

Delete a Task (managers)

Delete Task

Purpose: Remove a task from the company list.

Steps

  1. Confirm you are a manager.
  2. Click the Delete (trash) icon.
  3. Confirm the delete prompt.
  4. The task is removed and the list refreshes.

Caution: Prefer Edit or Incomplete if the task should stay in history.

Notes

Task notes
  1. Click the notes (eye) icon to view/edit the task’s main notes.
  2. If Show More Notes appears, open it to see additional account notes linked to that task.
  3. Save note changes when prompted.

Call or text from a Task

When your company has calling enabled:

  1. Find the Phone column for the task.
  2. Use the green/blue (or other) phone icons to place a call linked to that task.
  3. Use SMS when shown and allowed (respect Do Not Text).
  4. Use Show More / Show Less when many phone numbers are listed.

Task Actions (bulk)

Task Actions

Purpose: Apply one action to selected tasks or all tasks in the current search.

Steps

  1. (Optional) Check task checkboxes, or use the header checkbox.
  2. Click Task Actions.
  3. Choose an action:
    • Reassign to Sales Rep (managers / market managers) — then pick the sales rep
    • Mark as Completed
    • Mark as InCompleted
  4. Choose scope:
    • Just the tasks I've selected on this page
    • All tasks I've searched for
  5. Submit / continue.
  6. The list refreshes.

Save Route / Add Route

  1. On a task whose account has map coordinates, click Add Route.
  2. Repeat for other tasks.
  3. Click Save Route in the header.
  4. Use Remove Route on a row to take that account off the pending route list.

Export Tasks

  1. Apply filters so the list shows the tasks you want.
  2. When results load, use Export Tasks Report / export control (appears with results).
  3. Follow the export popup.
  4. For recurring exports, use Schedule FollowUp Exports when offered (/followups/schedule_exports/).

Tips and important notes

  • Default date filter often focuses on today → tomorrow — widen dates to see older or future tasks.
  • Use Priority and Type filters to focus coaching or daily work.
  • Complete toggle is the fastest way to close a single task.
  • Managers delete; everyone with access can usually edit and complete (per company rules).
  • Reassign is manager / market manager only.
  • List auto-refresh can update the table while you work — finish edits before a refresh if needed.
  • Route icons appear only when the account has latitude/longitude.
  • Call buttons appear only when Twilio / calling features are enabled for your company.
  • Filter settings stay in your session until you change or clear them.

Need help?

  • No tasks found: widen Start/End dates, clear Status filter, or clear User/Markets
  • Cannot delete: confirm you are a manager
  • Cannot reassign: confirm you are a manager or market manager
  • Add Task missing company: search and select Company Name before saving
  • Task missing after add: check date filter and assigned user
  • No call icons: calling may be disabled for your company
  • Other issues: email support@callproof.com
