Tasks (Followups)

Tasks (also called Followups) help you schedule, assign, and track follow-up activities for accounts, including calls, visits, emails, and other actions. The Tasks page allows you to create, edit, complete, delete, search, and export follow-up tasks so important work is not missed.

Navigation: DashboardFollowups (Tasks)

Note: The page title is Tasks. In some companies, this menu appears as Dashboard & ReportsFollowups.

  1. Log in to your CallProof account.
  2. From the main navigation bar, hover over Dashboard.
  3. Select Followups or Tasks, depending on your company configuration.
  4. The Tasks page opens and displays the existing task list.
  5. From this page you can search, add, edit, complete, delete, and export tasks.

Add Task

Create a new follow-up action for an account and assign when it should be done.

Add Task

Purpose: Create a new follow-up task for an account.

Method 1 – From the Tasks Page

  1. Open DashboardFollowups.
  2. Click Add Task.
  3. The Add Task page opens.
  4. Complete the task information.
  5. Click Save.
  6. The task is added to the Tasks list and the account's Tasks tab.

Method 2 – From an Account

  1. Open PeopleContacts.
  2. Open the desired account.
  3. Click the Tasks tab.
  4. Click Add Task.
  5. Complete the task information.
  6. Click Save.

Note: You can also create tasks from the Contacts search results, Leads, or an Appointment using the Add Task (plus) icon.

Task Fields

Field Description
Task Assignment Managers can assign the task to one or more users.
Company / Contact Select the account for the task. This is automatically populated when creating the task from an account.
Task Personnel Optionally select related contacts when the People feature is enabled.
Task Action Step Select the type of follow-up, such as Call, Visit, or Email.
Task Priority Select the task priority.
Date and Time Specify the due date and time.
Duration Enter the expected task duration.
Recurring Configure recurring task settings if required.
Notes Enter additional instructions or comments.
Completed Mark the task as completed if applicable.
Add To Google Calendar Synchronize the task with Google Calendar.
Add To Office Calendar Synchronize the task with Microsoft Office Calendar.

Edit Task

Update task details such as due date, owner, action step, notes, or completion status.

Edit Task
  1. Open DashboardFollowups.
  2. Locate the task you want to update.
  3. Alternatively, open the related account and select the Tasks tab.
  4. Click the Edit (pencil) icon.
  5. The Edit Task page opens.
  6. Update any required information, including:
    1. Assigned User
    2. Task Action Step
    3. Priority
    4. Date and Time
    5. Duration
    6. Recurring Settings
    7. Notes
    8. Completed Status
    9. Calendar Synchronization
  7. Optionally enable Add New Task after marking the task as completed.
  8. Click Save.
  9. The updated task is displayed in the task list.


Complete Task

Mark a task as completed when the follow-up has been finished.

From the Task List

  1. Open DashboardFollowups or the account's Tasks tab.
  2. Locate an incomplete task.
  3. Click the Not Completed status icon.
  4. The task status changes to Completed.

From the Edit Page

  1. Open the task using the Edit icon.
  2. Select the Completed checkbox.
  3. Optionally enable Add New Task to schedule another follow-up.
  4. Click Save.

Bulk Complete

  1. Select one or more tasks using the checkboxes.
  2. Choose the Complete bulk action.
  3. Confirm the action.
  4. The selected tasks are marked as completed.

Delete Task

Remove a task that was created by mistake or is no longer needed.

  1. Log in as a manager.
  2. Open DashboardFollowups or the account's Tasks tab.
  3. Locate the task you want to delete.
  4. Click the Delete (red X) icon.
  5. Confirm the deletion.
  6. The task is permanently removed from the task list.
  7. If the task was synchronized with Google or Office Calendar, CallProof attempts to remove the associated calendar event.

Notes

  • Completing a task creates an activity event that may appear in reports.
  • Managers can assign tasks to multiple users when creating a task.
  • Permission to complete another user's task depends on your security role.
  • Only managers can delete tasks.
  • Deleted tasks cannot be restored from the Tasks page.
  • Tasks can optionally be synchronized with Google Calendar or Microsoft Office Calendar.
