What is Google Calendar Integration?

Google Calendar Integration (Calendar Sync) connects CallProof to Google Calendar and/or Microsoft Office (Outlook) Calendar so future appointments, follow-ups, and tasks can sync to your calendar.

Future appointments and follow-ups can be scheduled from the CallProof website or mobile app. Event reminders can be set for SMS and email. Additional guests can be added to an event as well.

How to navigate

Mobile:

  • Accounts → contact → Future Appointment (first-time Google setup may start here)
  • Settings → Calendar Sync / Calendar Setup (when available)

Website:

  • Dashboard → Appointments/Tasks → Calendar Setup

What is Calendar Setup (Website)?

Calendar Setup on the CallProof website lets users connect Google Calendar and/or Microsoft Office (Outlook) Calendar. Once connected, follow-ups and tasks can sync to the selected calendar.

Using Calendar Setup (Website)

  1. Open Calendar Setup.
  2. Link Google Calendar and/or Microsoft Office Calendar.
  3. Select which calendar receives tasks/follow-ups.
  4. Save.
  5. Status shows Enabled when a calendar is selected.
  6. Remove or reconnect later if needed.

Using Google Calendar

  1. Navigate to Calendar Setup.
  2. Under Google Calendar Setup, click Link Calendar.
  3. Sign in with your Google account and grant access.
  4. Return to Calendar Setup.
  5. Click the Edit icon next to Sending Tasks to Calendar.
  6. Select the calendar to use for synchronization.
  7. Click Save.
  8. The status changes to Enabled once a calendar is selected.

What is Create a Google Calendar?

Create a Google Calendar adds a new calendar (for example a CallProof-only calendar) so CallProof events stay separate from personal or other work calendars.

Using Create a Google Calendar

  1. Click Add New Calendar (website) or Add Calendar (mobile setup).
  2. Enter a calendar name (for example “Callproof Appointments”).
  3. Click Save / Submit.
  4. Select the newly created calendar for synchronization.
  5. Save choices.

  • Add New Calendar – Creates a new Google calendar.
  • Custom name – Separate CallProof events from other calendars.
  • Select after create – Choose the new calendar for sync.
  • Recommended for clarity – Keeps CallProof appointments easy to find.

Remove Google Calendar

What is Remove Google Calendar?

Remove Google Calendar disconnects Google synchronization from CallProof until the account is linked again.

  1. Click the Delete icon.
  2. Confirm the removal.
  3. Google synchronization is disabled until the account is linked again.

Future Appointment on Mobile

What is Future Appointment on Mobile?

Future Appointment lets you schedule an upcoming appointment from a contact on the mobile app and send it to the selected Google (or connected) calendar.

Using Future Appointment on Mobile

  1. Select a contact.
  2. From the contact menu, choose Future Appointment.
  3. If prompted for Google Calendar sync the first time, complete Setting Up Google Calendars on Mobile.
  4. Configure the future appointment (date, time, details for the calendar entry).
  5. To add an invitee, enter their email and tap Add. When it appears in a square under the input, they are added.
  6. Set meeting notifications (method and how far in advance). Tap the green + to add more reminders.
  7. Tap Submit. The calendar entry is saved to the selected calendar.
  8. To review later: Follow-ups → Appt History → Future (shows future appointments).

  • Calendar sync on submit – Saves entry to the selected calendar.
  • Invitees – Add guest emails to the calendar entry.
  • Invitee email limitation – CallProof can add invitees to your calendar entry; to email invitees, open Google Calendar on a PC, select the event, and email invitees from there.
  • SMS / email reminders – Choose reminder method and timing.
  • Multiple reminders – Add more with the green + control.
  • Appt History → Future – View all future appointments quickly.
  • First-time Google setup – May launch calendar linking if not configured yet.

What are Calendar sync notes?

Important rules and limits for CallProof calendar integration.

Notes

  • Calendar connections are configured separately for each user.
  • Synchronization applies to Follow-ups and Tasks only (plus Future Appointments sent to calendar).
  • A calendar must be selected before synchronization is enabled.
  • If authentication expires, reconnect the calendar account.
  • Both Google and Microsoft use OAuth authentication.
  • CallProof cannot see Google/Microsoft login credentials during OAuth.
  • After first mobile setup, ongoing calendar setting changes are typically done on the website.
  • If calendars were set up on the website first, the mobile first-time Google setup flow will not appear.
  • Feature is in beta — report issues to Support.
