Company Directory

Manage company users (reps) in CallProof. The Company Directory allows managers to search users, add or invite new reps, import and export users, update user profiles and permissions, manage phone settings, view device information, and enable or disable user accounts. Click on the user name or the notepad to the right of the contact record to update the user. The editing screen allows users or managers to change a users email, password, security settings, and address. The top part allows the user to change their icon within Callproof. Choose an icon from the users machine and upload. Security Settings in Callproof are listed below.

  • Is A Manager - Managers can see all contacts, update and add users, and see additional menu options.
  • Can delete contacts - Users by default cannot delete contacts. This keep company property and information in the system in the event someone tries to delete contacts. If this checkbox is marked, the user will be able to delete contacts from Callproof. Deleting a contact cannot be undone.
  • Contact Radius - This determines how many unassigned contacts a user can see. If set to a radius, only unassigned contacts within that radius from their phone will be visible. Select Assigned Contacts to allows users to only see contacts assigned to them.
  • All Unassigned - Select this to allow users access to all unassigned contacts.
  • Track GPS - This option will record gps location of the user when certain actions are performed. (Example: checking into an appointment, creating an event form) This option does not track employees in real time or record all their activity during the day.
  • Hide Events - Hide the company events from the users. This is the event feed showing users logging in and making contacts during the day. All they will see is their own activity.

Markets are used for grouping report data. This may or may not be used by companies. If anything within the Employee Profile is updated, click Update to save the information. The bottom provides access to changing a users email and password. To change their email, update the email and click Update on the bottom of the Employee section. To change a password, type the new password in the Password and Confirm field. Click Update to save. If Gryphon is being used when calling, enter the Gryphon details in the bottom section and Update.

Note: Manager access is required. Non-managers receive a Permission Denied message when attempting to access the Company Directory.

  1. Log in to your CallProof account as a manager.
  2. From the main navigation bar, hover over People.
  3. Select Company Directory.
  4. The Company Directory page opens.
  5. Review the user list, which displays:
    1. Profile photo
    2. Name and title
    3. Account status (Enabled or Disabled)
    4. Manager and permission badges
    5. Last activity date
    6. Markets and address
    7. Phone numbers and app versions
    8. Account statistics
    9. GPS location icon
    10. Available action icons
  6. Use the right sidebar to access:
    1. Company Directory
    2. Add Rep
    3. Import Reps
    4. Export Reps (if enabled)
    5. Export Reps History Details (Manager + Can Export)
    6. Invite Reps
    7. Rep Stats HTML

Search Reps

Narrow the directory when you have many users. Search by name to find one person quickly. Use Display (Active / Disabled / Both) to focus on working accounts or disabled ones. Sort by name for easier scanning. On dealer companies, Store Caller ID filters reps tied to a store phone. The same filters also control what Export Reps includes, so you can export only the group you searched for.

  1. Open PeopleCompany Directory.
  2. In the Search Reps section:
    1. Enter a name in Search (optional).
    2. Select a Sort option.
    3. Choose Display:
      1. Active
      2. Disabled
      3. Both
    4. If applicable, select Store Caller ID.
  3. Click Search.
  4. Review the filtered results.

Add Rep

Create a full CallProof login for a new team member. You set identity (name, email, password) and optional title and invite email. CallProof also creates an Internal Staff account contact assigned to that user, turns on useful defaults (GPS setting, followup reminder), and can add a subscription line item for billed companies. After create, you land on Edit Rep so you can set Manager, markets, export rights, and other permissions before the rep starts working.

  1. Open Company Directory.
  2. Click Add Rep.
  3. Complete the required information:
    1. First Name
    2. Last Name
    3. Email
    4. Password
    5. Confirm Password
  4. Optionally enter:
    1. Title
    2. Send Email Notification
  5. Click Create New User.
  6. The Update Rep page opens.
  7. Configure permissions and profile settings.
  8. Click Update.
  9. Return to the Company Directory to verify the new user.

Invite Reps

Add several people quickly with only email addresses. Each invite creates a temporary “New Rep” account, sends an invite email (with setup/app info), and lets the manager finish real names, passwords, and permissions later. Use this for group onboarding when you do not yet have full profile details for everyone.

  1. Open Company Directory.
  2. Click Invite Reps.
  3. Enter up to five email addresses.
  4. Click Submit.
  5. Edit each invited user's profile as needed.

Import Reps

Load many users from a CSV at once for go-lives, migrations, or large team updates. The file supplies login and address/phone data (and, on advanced import, permissions and markets). Import reduces manual Add Rep work and keeps the directory aligned with HR or spreadsheet source lists. After import, managers still edit users as needed for titles, markets, and special permissions.

  1. Open Company Directory.
  2. Click Import Reps.
  3. Download the sample CSV file.
  4. Complete the spreadsheet.
  5. Click Choose File.
  6. Select the CSV.
  7. Click Submit.
  8. Verify the imported users.

Export Reps

Download your current (filtered) user list as CSV for audits, HR review, compliance, backup, or offline analysis. The file includes identity, address, phones, permission flags (manager, delete, export, directory view, markets, etc.), app versions, and last activity—without exporting live passwords. Requires Can Export so only authorized managers can take user data out of CallProof.

  2. Click Export Reps.
  3. Open the downloaded CSV file.

Note: Requires Can Export permission.

Export Reps History Details

Export historical user/detail data for deeper admin review (beyond the current roster snapshot). Available only to managers who also have Can Export, so history exports stay limited to higher-trust admin users.

  2. Open the generated CSV report.

Note: Requires Manager and Can Export permissions.

Edit Rep

Update a user's profile, permissions, login information, profile image, Rep Stats HTML, and Gryphon settings (if enabled).

  1. Log in to your CallProof account as a manager.
  2. Hover over People and select Company Directory.
  3. Locate the user.
  4. Click the user's photo, name, or the Edit (pencil) icon.
  5. The Update Rep page opens.

The Update Rep page contains the following sections:

  4. Rep Stats HTML
  5. Gryphon (only if enabled for your company)

Rep Image

Upload or replace the user's profile picture so they are easily recognized throughout CallProof.

  1. Under Rep Image, review the current profile picture.
  2. Click Choose File and select an image.
  3. Click Upload.
  4. A confirmation message indicates the profile image was updated.
  5. Verify that the new image is displayed.

Note: Images can only be uploaded for users within your company.

Rep Profile

Configure user permissions, visibility, GPS settings, markets, caller IDs, opportunities, messaging, appointments, and other company-specific options. When you click Update, CallProof may display one of the following dialogs:

  • Save Now — Apply changes immediately.
  • Save in the Future — Schedule the changes.
  • If a future schedule already exists, you may be prompted to replace it by selecting Continue.

After saving successfully, a confirmation message indicates the rep profile has been updated.

Save Profile

  1. Modify the required profile settings.
  2. Click Update.
  3. Choose Save Now or Save in the Future if prompted.
  4. Wait for the save to complete.
  5. Confirm the profile update message.
  6. Optionally return to Company Directory and verify the updated permissions.

Rep

Update the user's login information including name, email address, and password.

  1. Scroll to the Rep section.
  2. Update the user's first name, last name, and/or email address.
  3. To change the password, enter a new password and matching confirmation.
  4. Click Update.
  5. Correct any validation errors if necessary.
  6. A confirmation message indicates the user was updated successfully.

Notes:

  • Email addresses must be unique.
  • Leave the password fields blank if you do not want to change the password.
  • The Send Email Notification option is available only when adding a new user.

Rep Stats HTML

Store custom HTML used to display statistics for this individual user.

Gryphon

Note: This section is available only if Gryphon integration is enabled for your company. Configure Gryphon dialing settings for the user.

  4. Confirm the Gryphon settings were saved successfully.

Disable User Account

Remove a user’s ability to log in without deleting their history. Use when someone leaves, is on leave, or should lose access. Disable also ends open clock-ins, cleans report recipient / rank group memberships, may adjust billing for subscription companies, and can notify their mobile app that the account is disabled—so access and billing stop cleanly while past calls, appointments, and accounts remain available for audit.

  2. Click Account Enabled.
  3. Confirm the action.
  4. The account status changes to Account Disabled.

Enable User Account

Restore login for a previously disabled user (return from leave, mistaken disable, or rehire). Enabling clears the disabled flag/setting and can add them back on billed subscriptions so they work again without creating a brand-new user.

  1. Filter the directory to Disabled users.
  2. Locate the user.
  3. Click Account Disabled.
  4. The account becomes active again.

Add Phone

Maintain Home/Office/Cell/Fax (and related) numbers for calling, display in the directory, and Default Phone selection. Accurate phones support outbound contact, caller ID configuration on dealer/Twilio setups, and quick lookup from Company Directory.

  1. Locate the user.
  2. Click Add Phone.
  3. Enter the phone information.
  4. Click Save.
  5. Optionally set the Default Phone in the user's profile.

Phone Sync Settings

Control how often the mobile app uploads GPS location and call history. Tune sync so managers get timely location/call data without forcing unnecessarily heavy battery or network use. GPS Sync on/off pairs with Location Assistance for tracking behavior.

  3. Click Update.

View User Location History

Review where a tracked rep has been over time. Used for visit verification, route review, support, or compliance when Location Assistance / GPS sync is enabled.

  1. Click the Map icon.
  2. Review the user's GPS location history.

View Device Information

Support troubleshooting and rollout checks by showing which Android/iOS app build a user runs, device product/name, OS/API version, and last active date. Helps you confirm upgrades, diagnose sync/call issues, and see who is still on old clients.

Company Rep Stats HTML

Define shared HTML for company-level rep stats display/reporting so all eligible views use one consistent company template, instead of only per-user stats HTML.

Notes

  • Only managers can access the Company Directory.
  • Can Export permission enables Export Reps.
  • Manager + Can Export enables Export Reps History Details.
  • The Can View Company Directory permission alone does not allow access to the Company Directory page.
  • Dealer, Twilio, People Tab, and Telemarketing options appear only when enabled for your company.
  • Pagination is available when more than 25 users are displayed.
